Work Schedule: Monday - Friday, 8:00 am to 5:00 pm

This position provides administrative and clerical support to the Assistant County Counselor litigating bankruptcies, mortgage foreclosures and probate cases for the County. It also provides administrative and clerical support to the other attorneys in the office as well as assists in the areas of accounting and budget.

 

Processing of Bankruptcy, Mortgage Foreclosures and Probate Cases

  • File Bankruptcy Proof of Claims.
  • Prepare, review, and edit correspondence, court filings, exhibits and other documents as required.
  • Scan and maintain documents and file for bankruptcy, mortgage foreclosures, and probate filings.
  • Redact legal documents as necessary before filing.
  • Bate stamp exhibits and other documents as required.
  • Assist and Research tax and bankruptcy requests via phone and in person from internal clients and taxpayers.
  • Make bankruptcy deposits with Treasurer’s Office.
  • Enter information and maintain Bankruptcy Database and Spreadsheet.
  • Prepare the Monthly Bankruptcy Report.
  • Prepare documents for scanning and storage, as necessary.
  • Notarize legal documents.

 

Accounting and Budget

  • Make arrangements related to training/seminar registration and travel.
  • Prepare and Submit PO Adjustments and Invoices for payment.
  • Monitor compliance with credit card policy and finance requirements, i.e. reconcile statements, notify and schedule necessary training for card holders.
  • Monitor budget for four cost centers and performs AP, SAP, and PPS functions.

 

Maintain and Manage Inventory of Office Equipment, Law Library and other Administrative Duties

  • Track all office equipment and prepare a yearly report to be filed with Clerk’s Office.
  • Oversee maintenance and scheduling service for office equipment.
  • Place orders with Print Shop for paper products for County Counselor’s Office and County Court.
  • Log and update books in the law library/conference room.
  • Obtain and compile information to provide monthly reports and other statistical reports as needed.
  • Update and maintain attorney registrations due July and December.
  • Maintain Attorneys’ CLE records, certificates, and materials.
  • Sort and distribute mail and maintain mail log as required.
  • Create and Process Agenda Items as necessary.
  • Assist attorneys with document searches as requested.

 

Minimum Qualifications: High School Diploma or equivalent supplemented by administrative and/or clerical/secretarial courses. Four years’ experience in responsible secretarial work or any equivalent experience which provides the required knowledge, skills, and abilities. As well as a high degree of confidentiality and professionalism is required.
