Summary
The Administrative Specialist will provide high-level administrative support to all Director and Above positions in our Lancaster, TX office for our DSV Road team. This role requires a proactive, detail-oriented individual with exceptional organizational skills and a deep understanding of Microsoft PowerPoint and Excel. The ideal candidate will excel at managing schedules, coordinating meetings, and assisting with the preparation of materials for presentations.
Duties & Responsibilities
- Administrative Support: Provide comprehensive support to Directors and above, including calendar management, travel arrangements, expense reporting, and handling confidential information.
- Presentation Management: Utilize advanced PowerPoint skills to create, edit, and manage presentations for meetings, ensuring they are professional, accurate, and aligned with company standards.
- Communication & Correspondence: Serve as a liaison between executives and internal/external parties, maintaining strong communication channels. Draft, proofread, and distribute communications on behalf of Directors and senior leaders.
- Meeting Coordination: Schedule and organize meetings, including preparing agendas, arranging conference rooms, coordinating with participants, taking meeting notes, and following up on action items.
- Document Preparation & Management: Assist in preparing, proofreading, and distributing documents, reports, and presentations, ensuring accuracy, consistency, and adherence to brand guidelines. Organize, archive, and manage files and records for easy retrieval.
- Travel Coordination: Handle all aspects of travel arrangements, including booking flights, hotels, ground transportation, and preparing detailed itineraries.
- Event Planning & Logistics: Support the planning and execution of office events, town halls, team-building activities, and other internal functions, coordinating logistics to ensure successful events.
- Project Assistance: Assist with special projects, including data entry, research, and report generation, providing critical administrative support to key initiatives led by Directors and senior leaders.
- Data and Information Management: Collect, organize, and manage information to support Directors and above in decision-making processes. Maintain and update shared databases and tracking tools as needed.
- Vendor & Expense Management: Coordinate with vendors for office needs, equipment, and supplies. Manage purchase orders, track budget allocations for department-related expenses, and ensure timely submission of expense reports.
- Continuous Improvement: Proactively identify and implement process improvements to streamline administrative tasks and improve efficiency for the leaders and departments being supported.
Minimum Required Qualifications
Education and/or Experience
- High School diploma required
- Minimum of 3 years of administrative support experience supporting senior leadership

Computer Skills
