Job Description

This role will support our, SVP, Ecosystem Ventures

Responsibilities:

  • Coordinate internal and external meetings including staff meetings, executive briefings, All Hands meetings, QBR’s and off-site meeting and events – including creating agendas, Assist in preparing any meeting materials or presentations, scheduling conference space, Ensure meetings are connected to required technology, community service project, team activities, dinners, and all catering needs
  • Proactively track multiple deadlines, schedule calls & plan meetings,  maintain complex and changing calendars, while working through scheduling roadblocks.​
  • Draft and prepare routine and advanced SVP correspondence including emails, presentations, and reports. Review outgoing correspondence for accuracy, format consistency, signatures, and conformance with expectations.​
  • Keep an on-going listing of high priority initiatives designated by SVP for follow up action tracking and discussion through completion by designated owners.
  • Arrange all travel, both domestic and international, to ensure compliance to company guidelines and provide support to ensure all required travel documents are current including Visa/Passport and are ‘ready for travel.’
  • Assist SVP and organization by optimizing use of time. Make decisions regarding short-term priorities and work activities.
  • Work with relevant Partner, Sales & Ecosystem Ventures teams in advance of scheduled domestic and international trips to ensure strong discipline and rigor around meeting prep. Advanced meeting prep to include review and receipt of all agendas and briefing documents in a timely manner to support and aid in preparation of executive meetings.
  • Manage expense management process which includes submitting all SVP-VP expense reports and receipts in a timely manner.
  • Assist with any ad hoc special projects as needed.
  • Anticipate and/or identify needs and issues within the organization and proactively initiate and/or facilitate solutions. ​
  • Act as a trusted liaison between SVP and key internal and external stakeholders including employees, partners & clients – providing key insights, feedback, and recommendations to enhance engagement and belonging.
  • Work with HR-IT to on board all new hires to ensure a seamless experience and manage the off-boarding process with HR-IT support. ​
  • Assist new hire on-boarding with processes including expense reporting and travel systems and other internal processes and tools. 

Qualifications

To be successful in this role you have:

  • 10+ years experience supporting VP-SVP level including Program & Project Management experience.
  • Highly organized with exceptional communication skills and fully capable to take initiative, manage, and oversee variety of high priority projects from multiple management and professional levels successfully with minimal direction​.
  •  Desire to grow and take on your own projects and work under pressure while consistently meeting deadlines​.
  • Exceptional professional demeanor and soft-skills​
  • Must be strong team player with positive and personable and upbeat can-do attitude.​<
