POSITION OVERVIEW:                   
The Receptionist serves as the first point of contact for the school administration office. This position is responsible for warmly welcoming visitors, managing incoming calls, maintaining a professional and organized front office environment, and performing a variety of clerical and administrative duties to support school operations.

ESSENTIAL DUTIES AND RESPONSIBILITIES: 

  • Greet and assist all visitors, staff, students, and vendors in a courteous, professional, and friendly manner.
  • Answer and direct incoming phone calls; take and relay accurate messages.
  • Monitor and manage front office traffic to ensure student and staff safety.
  • Respond to general inquiries from parents, the public, and staff or route them to the appropriate personnel.
  • Perform basic clerical duties such as copying, faxing, and filing.
  • Manage office mail distribution including interschool mail, incoming & outgoing mail, and certified mail.
  • Schedule appointments and manage calendars for the board room and schedule other meetings for administrative staff as needed.
  • Oversee the substitute teacher hiring process and management through Frontline.
  • Support the new hire onboarding process by taking pictures of new employees.
  • Assist with preparation and distribution of the district weekly news updates, announcements, and memos.
  • Maintain and update records, logs, and databases (e.g., Field Trip Requests, Safe Schools/Vector Employee Training, etc.).
  • Assist with special projects or events as assigned by administration.

 
QUALIFICATIONS:
 
Education: 

  • High School diploma or equivalent required.

Work Experience:

  • Previous experience in a public school district or administrative setting preferred.
  • Customer service background, particularly in a front-facing or receptionist role, demonstrating strong interpersonal and problem-solving skills.

Competencies/ Skills:

  • Strong interpersonal and communication skills.
  • Proficient in Microsoft Office and Google products and comfortable with learning school-based software systems.
  • Ability to handle sensitive information with discretion.
  • Demonstrated ability to multi-task, prioritize duties, and remain calm under pressure.

  • Ability to establish and maintain effective working relationships with students, peers, parents and community.
  • Integrity, reliability, and commitment to supporting student success and school spirit.

 Work Environment:

  • This role operates in a dynamic school district environment, requiring frequent interaction with school staff, administrators, and community members.
  • May require occasional lifting (up to 25 lbs), standing for extended periods, or walking short distances.

Terms of Employment:

  • Hours: 7.5 hours per day with an hour lunch.  Monday-Friday (7:30 AM � 4:00 PM]
  • Days: 197 days
  • Salary: Per the district staff salary schedule
  • Benefits: Eligible for district benefits package (health, dental, retirement, etc.)
