About the Role & Team

Walt Disney Imagineering is the master planning, creative development, design, engineering, production, project management, and research and development arm of Disney Parks, Experiences and Products business segment. Representing more than 150 disciplines, its talented corps of Imagineers is responsible for the creation of Disney resorts, theme parks and attractions, hotels, water parks, real estate development, regional entertainment venues, cruise ships and new media technology projects.

This Executive Assistant is responsible for supporting an Imagineering VP level executive in the Creative Studio. What You Will Do

It goes without saying that there will be expense reports, travel planning, hundreds of phone messages and endless calendar jockeying, but this job is very much about people. The relationship you form with the executive you support is absolutely critical, because that’s what enables you to become a true partner. In addition to understanding your executive’s business needs, you will also need to understand the leadership and workings of Disney Experiences and of related departments across the Disney enterprise. As the “face” of your executive within The Walt Disney Company, your professionalism, loyalty and attitude are a reflection of the office, and as such, are a key component to its success.

Every day is different! On any given day you might:

  • Perform administrative duties including, but not limited to, screening and routing phone calls, managing calendars, processing invoices, scheduling meetings requiring significant coordination and follow up, and ensuring timely and effective communications

  • Prepare for meetings including setup for large presentations/video conferences with multiple sites

  • Lead the planning, coordination, and execution of business travel, including trip logistics and itinerary, meeting coordination, and remote support when an executive is out of the office, considering time zones, weather delays, traffic and fatigue levels

  • Prepare expense reports in Concur and ensure they are submitted in a timely manner

  • Interface directly with other senior executives, their support teams and external organizations – your ability to work well with people on all levels is a very important part of your job

  • Review your leader’s schedule to build-in time for things like thinking and traveling to their next meeting

  • Understand the day’s priorities so you can be strategic about how you direct phone calls

  • Be ready to throw the entire schedule out the door when an something urgent comes up, then pick it up again when the dust settles

  • Handle very confidential, sensitive information, remembering that Disney is a publicly traded company

  • Draft letters and emails on behalf of your leader

  • Provide additional office support such as ordering supplies, and processing purchase orders and approval processes

  • Coordinate department off-sites and events as needed

  • Assist with any special projects and other related duties as needed

Required Qualifications & Skills

  • At least 3 years supporting an executive or equivalent experience

  • Sharp written and verbal communication skills, including flawless grammar and a rich vocabulary

  • Desire to immerse yourself fully and learn all aspects of your executive’s business

  • Ability to multi-task and prioritize deadlines/deliverables

  • Strong proficiency with all types of computers, phones and office equipment, as well as mastery of Microsoft Office programs, SAP, Confluence, Concur, and working in a Windows and Apple environments

  • A calm head and steady hand to deal with the unexpected

  • Complete reliability handling confidential, often highly sensitive information
