Position Summary
We are seeking a highly organized and detail-oriented Billing Specialist / Administrator to oversee medical billing operations and support payroll processing for our behavioral health clinic. This role plays a critical part in maintaining financial accuracy, ensuring timely reimbursement, and supporting internal payroll operations.
The ideal candidate has experience in medical billing, understands payroll procedures, and is comfortable working with financial data, insurance providers, and internal leadership. This position works closely with the Clinic Administrator and leadership team to ensure operational and financial compliance.

Essential Duties & Responsibilities but not limited to the following:
Billing & Accounts Receivable
• Review and resolve claim errors prior to submission
• Troubleshoot and resolve denied or rejected claims; follow up with insurance providers and resubmit claims as necessary
• Actively manage aging claims and accounts receivable
• Process credit refunds for patient and insurance overpayments
• Contact patients, families, and/or POAs to obtain accurate insurance information
• Resolve patient balances by setting up payment plans, collecting payments, and sending electronic billing communications
• Answer phone inquiries regarding billing, insurance, and claims
• Maintain accurate documentation within the electronic medical record (EMR) system
• Collaborate with leadership on financial reporting and aging analysis
• Ensure compliance with HIPAA and billing regulations
Payroll Processing & Administrative Support
• Process biweekly payroll accurately and timely
• Review timesheets for accuracy and completeness
• Ensure proper documentation of PTO, holidays, and overtime
• Maintain payroll records and employee compensation data
• Assist with onboarding payroll setup for new hires
• Support year-end payroll reporting (W-2 preparation coordination)
• Maintain confidentiality of employee payroll information
• Provide administrative support as needed
• Other duties as assigned
Qualifications
Required
• High school diploma or equivalent
• Knowledge of ICD-10, CPT, and HCPCS coding and medical billing regulations
• Working knowledge of Medicare, Medicaid, and commercial insurance policies
• Understanding of basic accounting and payroll principles
• Proficiency in Microsoft Excel, Google Sheets, HRIS software, and EHR systems
• Strong organizational, multitasking, and problem-solving skills
• Excellent verbal and written communication skills
• Ability to handle sensitive financial and employee information with confidentiality
• Detail-oriented with strong accuracy
• Must be able to commute reliably to Saint Paul, MN 55130 or plan to relocate

• Associate degree or higher in accounting, healthcare administration, or a related field
