JOB SUMMARY:

The Operations Assistant acts as the gatekeeper and first point of contact, interacting with interdepartmental team members, senior executives, and a variety of creative professionals.  The Operations Assistant also provides general office support with a variety of clerical activities and related tasks.   This position will be responsible for answering incoming calls, directing calls to appropriate associates, mail distribution, flow of correspondence, requisition of supplies, as well as additional clerical duties. ESSENTIAL DUTIES/RESPONSIBILITIES:

The requirements listed below are representative of the fundamental knowledge, skill, and/or ability required to perform the job successfully:

  • Answer telephones and direct the caller to the appropriate associate or voice mailbox. Check “General Mailbox” daily for voice messages and distribute accordingly.
  • Greet customers and guests; and ensure guests sign in and badges are issued upon entry to the facility.  
  • Prepare and maintain visitor and internal welcome monitors within lobby.
  • Retain privacy and exercise discretion when handling communications or situations connected to the confidential nature of customer and/or employee information.
  • Assist accounting with invoice reviews, note discrepancies, and deliver daily in numerical order.
  • Process business card orders.
  • Coordinate, set up, and breakdown of catering for meetings and company functions, as needed.
  • Keep supply closets/cabinets stocked, organized, and track and maintain inventory of catering and office supplies, liaise with department admins, and submit orders.
  • Check FaxViewer throughout the day and distribute faxes to recipients.
  • Create and ship customer welcome kits.
  • Keep entryway and lobby area clean, clear, and ensure maintenance of professional appearance at all times.  
  • Assist with coordination of training class registration, logistics thereof, and provide support to registrants as needed.
  • Special projects for data entry and/or departments as needed.
  • Keep internal telephone directory updated.
  • Shipping and Receiving.
  • Light housekeeping duties, proactively cleaning and refilling supplies, as necessary throughout the day.
  • Other duties as assigned.

GENERAL QUALIFICATIONS, KNOWLEDGE, AND SKILLS:

  • Quick thinking and proactive approach to problem resolution; adept at learning new systems independently.
  • Detail-oriented with exceptional organization and time management skills.
  • 2 years of customer service experience.
