Position Summary
The Director, Administration is responsible for supporting and enabling the Chief of Staff (COS) in meeting the Chairman’s goals and objectives. The Director, Administration works with the COS to support all calendaring & scheduling needs and special projects & initiatives involving the Chairman’s office and his personal/business objectives. In collaboration with the Executive Support Team and the Chief of Staff (COS), this role will appropriately direct high-level questions, concerns, and requests on behalf of the Chairman and respond to high-priority VIP business and personal inquiries according to protocol set forth by the COS. Working with the COS, this position will ensure that the Chairman is fully prepared for business, personal events and engagements. With the COS, this role works to provide a seamless integration of all aspects of the Chairman’s personal and business activities and relationships. It is required to provide 24/7 coverage 365 days a year with a clear understanding that singular focus and attention to every detail are expected for all materials going to the Chairman.
Role and Responsibilities
- As directed, facilitate strategic management processes, assistance, and guidance to help manage specific strategic initiatives of the Chairman’s office that are critical in meeting his personal and professional goals and responsibilities.
- In collaboration with the COS, “looks around the corner” to anticipate opportunities and challenges across the full spectrum of the Chairman’s businesses, philanthropic, and personal endeavors.
- Responsible for interacting with team members across the Blank Family of Businesses, leaders of organizations the Chairman and his family participate in, and his personal homes and properties to ensure alignment, synergy and effectiveness.
- Liaison to the executive leadership teams of the Blank Family of Businesses and leaders of organizations the Chairman participates in, facilitating progress on key strategic matters and scheduling meetings as delegated by the COS or Chairman.
- As requested, assist in preparing material for business update meetings.
- Manage a team that includes the Administrative Assistant, Project Specialist and Sr. Executive Assistant – Business Entities and Scheduling; provide oversight, feedback and coaching to associates to include potential development and training opportunities.
- Oversee the preparation of reports, proposals, briefings, and presentations, and respond for, or on behalf of, the Chairman.
- As directed by the COS, manage the Chairman’s email correspondence, to ensure urgent items are brought to the Chairman’s attention and that other communications, requests, and invitations are addressed appropriately; assist in promptly formatting emails & documents to the Chairman’s preference.
- Ensure that the Chairman’s urgent requests (“Hotline”) are promptly and properly delegated, tracked, and executed; Responsible for coordinating responses and progress to the Chairman on a daily & weekly basis.
- Responsible for reviewing and finalizing weekly update reports into one consolidated report for the Chairman’s review.
- Assist the COS with correspondence that deals with issues and subject matters that require considerable sensitivity, discretion, judgment, or negotiation.
- Build and nurture relationships to serve as a resource for the Chairman and point of contact as designated for key constituents and stakeholders, including family members, to resolve complex issues and help move forward strategic priorities.
- Responsible for maintaining the Chairman’s Contact List.
- Manage and coordinate process, design element, vendors, and mailing list for the Chairman’s annual pistachio can gift and communicate with Chairman.
- Coordinate and direct special projects or duties as assigned by the Chairman or COS.
Qualifications and Education Requirements
- 6+ years of experience working in complex organizational environments.
- A minimum of 3 years of experience influencing and working close
