Medical Office Support (MOS) - WCP
Job Summary:
Medical Office Support (MOS)
Provides administrative support to the clinical back office by managing, processing, organizing, and maintaining incoming and internal documentation received through fax, mail, patient drop-off, or generated within the office. This position ensures accurate document workflows while supporting efficient back office operations through strong organization, attention to detail, and timely follow-through. Additional responsibilities include providing front office support as needed, assisting with daily operational tasks, providing coverage at the Fruita office, and participating in the Saturday coverage rotation.
Duties/Responsibilities:
Assist providers and back office staff with completion of patient paperwork and required documentation.
Manage incoming and outgoing documents, including routing received documents, collecting items for scanning, scanning documents into patient charts, and maintaining accurate records.
Support provided as needed to process, input, route, and x-print faxes, including patient results and referral notes, when front office coverage is unavailable.
Pull, input, and update patient records, including new patient and newborn records, immunizations, vital signs, and historical medical records; forward records to primary care providers for review as needed.
Create and maintain patient intake packets, vaccine consents, back office forms, and other clinical resources.
Score and enter clinical assessment tools and complete registry reports as needed.
Manage patient-related tasks and follow-ups by taking messages, creating tasks, and ensuring information is routed to the appropriate team members.
Run reports, respond to emails, make copies, and complete general administrative duties.
Manage sample inventory, including medications and formula, by maintaining stock levels, rotating inventory, placing orders, and coordinating with sales and sample representatives.
Maintain office supplies and inventory, including stocking medications, managing Prescription to Play LEGO inventory, ordering McKesson special-order supplies, and ensuring availability of other office materials as needed.
Assist with seasonal and specialty clinics as needed.
Provide administrative support to the Front Office Supervisor, Back Office Supervisor, and Office Manager by completing assigned tasks and assisting during downtime.
Front Office Receptionist- Cover and Back-Up
Duties/Responsibilities:
Schedule appointments via phone or electronic correspondence. Add new patient accounts. Schedule follow up appointments. Cancel and reschedule appointments. Manage electronic worklists. Manage templates for day-to-day edits and reschedules. Promote and assist patients in pre-visit / online scheduling use.
Answer incoming phone calls and make outbound phone calls, gathering information to route appropriately.
Counsel new and existing patients on Patient Overview, Financial responsibility and payment expected at time of service.
Process, enter, route, and X-print incoming faxes, including patient results and referral documentation. Fax completed forms and documents to the appropriate recipients. Provide Medical Office Support with fax processing and related tasks as needed to assist the Front Office.
Create and maintain Patient records. Verify and update patient demographics and insurance as needed.
Prepare form letters and/or contact patients by phone to notify them of appointment changes.
Work WCPA Front Office and individual task bins and Portal messages.
Work Eagle Dream and any reports as assigned.
Clean up lists of patients seen infrequently by transferring and inactivating the chart.
Support Check-In/ Check-out positions as needed. Scanning documents into patient charts
Work in the front office rotation on Saturdays.
Check-Out
Collect patient co-pays, payments, and outstanding balances.
Verify co-pays and amounts due through Phreesia.
Schedule follow-up appointments as needed.
