About the Role:

This is a unique opportunity to join the R&A Studio Project Management team and support the production of high-quality research for Gartner clients – the leaders who shape our world. The successful candidate will scope, plan, and assign content to the in-house editing and design department (known as “R&A Studio”), balancing the global team’s capacity with evolving business priorities. We are looking for a self-driven, detail-oriented, and deadline-focused individual who can oversee a high volume of projects, communicate professionally with internal stakeholders, and manage work across multiple systems and platforms. We are looking for someone who is a true team player, working collaboratively with other team members to achieve team goals.

As a project specialist, you will develop an understanding of our processes and meaningfully contribute to the team's success through routine tasks that are critical to our workflow. Your highest priority will be to manage project intake, working with internal research staff to ensure project managers, editors, and designers have everything they need to produce materials on time and at the highest quality standards. 


 

What You Will Do:

 

  • Act as the main point person for internal clients on new projects, providing process guidance and project management support (including, but not limited to, timelines, status updates, and requirements) with a strong commitment to service.

  • Perform quality control by scoping all projects to ensure all requirements have been met (and seeking them out from appropriate partners when missing), negotiating priorities and expectations, and managing stakeholders toward deadlines.

  • Manage a steady volume of projects simultaneously while weighing the importance of specific jobs and prioritizing accordingly, maintaining high levels of personal productivity and keeping the team aware of changes and concerns.

  • Support teammates on various projects and workload as needed. Be willing to assist a team member with their tasks/duties, when necessary, in order to meet overarching team goals.

  • Allocate department resources (e.g., editor, designer capacity) in a fair and balanced way across teams and time zones, using provided tools and systems.

  • Maintain deep knowledge and understanding of all steps required in research production processes.

  • Communicate professionally (written and verbal) and with a sense of urgency during time-pressured situations, resolving problems accurately, efficiently, and positively.

  • Passionately serve internal clients, developing and maintaining strong relationships with internal research teams and editing, design, and project management peers.

  • Resolve complex project issues with a collaborative, solution-oriented approach focused on meeting client needs and business objectives.

  • Remain agile to evolving processes by attending trainings, using self-serve resources, and adapting your approach accordingly.

  • Related duties as assigned.

What You Will Need:

  • 3+ years project management, account management, traffic coordination, or administrative experience in a fast-paced creative services environment

  • Background in graphic design, editing, or publishing preferred but not required

  • Proven track record independently managing multiple tasks and high volumes with evolving requirements and priorities 

  • Exceptional organizational, planning, and time-management skills

  • Extremely detail-oriented, with a high level of accuracy in following process steps and guidelines.

  • Flexible, empathetic, adaptable, and agile

  • Excellent collaboration with a range of stakeholders and strong written and verbal communication.  

  • Ability to apply knowledge and reason to problem-solve and navigate ambiguity when processes aren't clearly defined.

  • Expertise working in Google Workspace (Google Docs, Sheets, Slides, and Drive) and MS Suite (Outlook, Teams)

  • Experience with a content and/or project management system (e.g., ClickUp, Wrike, Asana, Monday, Smartsheet) strongly preferred

  • Desire and ability to learn new tools, technologies, and business processes
