RN Patient Intake Coordinator

About the role

Primary Function

The RN Intake Coordinator plays a critical role in optimizing clinic scheduling and referral intake operations within the pediatric hematology/oncology service line. This hybrid role is responsible for coordinating the intake process, ensuring timely and accurate collection of clinical information, referrals, consultations and facilitating smooth transitions into care. The RN Intake Coordinator collaborates closely with physicians, nurse practitioners, social workers, patient access team, and administrative staff to provide compassionate, family-centered care.

Essential Functions

  • Conduct chart reviews for scheduled clinic appointments to assess lab status, diagnosis severity, and provider match.

  • Collaborate with APPs, MDs, and administrative staff to optimize scheduling decisions and clinic flow.

  • Improve care coordination between clinic and infusion visits to reduce delays and enhance patient experience.

  • Work closely with the Nurse Manager and Business Operations Manager to identify and implement workflow improvements.

  • Utilize Epic for documentation, scheduling, and data review.

  • Participate in team meetings and quality improvement initiatives.

  • Serve as a liaison between referring providers, patients, and the care team.

  • Review and obtain necessary medical records, insurance authorizations, and consents.

  • Educate families on the intake process, treatment expectations, and available support services.

  • Ensure timely documentation in the electronic medical record (EPIC).

  • Collaborate with multidisciplinary teams to support continuity of care.

  • Monitor and track referral outcomes and patient flow metrics.

  • Participate in quality improvement initiatives related to access and intake processes.

  • Assist with incoming clinical intake phone calls from referring physician offices and families.

  • Educate and support families and referring providers regarding the referral process.

  • Partner with clinical operations team to prioritize urgent referrals.

  • Communicate with scheduling and families regarding referral status and documentation needs.

  • Provide patient triage support in the infusion center as needed.

Qualifications

Required:

  • Valid Registered Nurse (RN) license in the state of Florida

  • Minimum of 1-year pediatric hematology/oncology experience

  • BLS Certification

  • Strong communication, organizational, and critical thinking skills

  •  Ability to work independently and collaboratively in a fast-paced environment. 

  •  Compassionate and family-centered approach to care

Preferred:

  • Master’s degree in nursing, healthcare administration, or related field

  • Process improvement or quality improvement training

  • APHON Pediatric Chemotherapy and Biotherapy Provider status

  • Experience with EPIC systems and care coordination workflows.

  • PALS certification

Working Conditions

  • Full-time, hybrid position based in Orlando, FL

  • Primarily administrative and coordination-focused with occasional direct patient care

  • Standard business hours with flexibility as needed
