Job Summary
Essential Functions-Serve as the first point of contact for patients by managing appointment scheduling, responding to inquiries, and maintaining accurate records.
-Act as a “Super User” for scheduling, registration, and billing systems—providing guidance and training to colleagues and handling advanced tasks like surgical scheduling and calendar management.
-Support and guide Office and Practice Assistants, helping to coordinate daily activities and maintain operational excellence.
-Collaborate with supervisors to oversee front desk workflows and ensure smooth day-to-day practice operations.
-Handle sensitive communications including prior authorizations, prescription refills, and test result inquiries with professionalism and discretion.
-Accept co-payments and manage related financial transactions in accordance with policy.

High School Diploma or Equivalent required

We’re looking for someone with 3–5 years of professional office experience, ideally in a fast-paced, customer-focused environment. If you thrive on organization, multitasking, and making a difference behind the scenes, this role is for you.
Qualifications:
- Strong technology and MS Office skills – Advanced Outlook, Word, Excel, PowerPoint Knowledge of office operations and standards and understanding of office procedures including filing, copying, scanning, printing and faxing.
- Ability to use phone system and manage more non-routine phone calls and solve routine issues as appropriate.
- Communicating effectively in writing as appropriate for the needs of the audience and Talking to others to convey information effectively.
- Understanding written sentences and paragraphs in work related documents, to correspond and communicate with others clearly and effectively (including composing/editing e-mail, memos and letters), and to take complete and accurate messages.
- Managing one's own time and the time of others.
- Well organized and good time management skills to manage multiple tasks effectively, follow established protocols, and work within systems.
- Ability to proofread and edit written documents.
