Who We Are
The Administrative Manager delivers comprehensive administrative and scheduling support for critical RCOH programs, specifically for the CEMAT (Carrier Engineering Maintenance Assist Team), LIFAC (Light Industrial Facility), and ESU (Elevator Support Unit) contracts. This pivotal role manages subcontractor coordination, project timelines, deliverable tracking, and compliance documentation. The Administrative Manager ensures the smooth integration of all administrative functions essential to HII-MT's RCOH operations, meeting both program requirements and government expectations.
What You Will Do
- Supervise administrative personnel supporting both CEMAT and ESU work scopes.
- Manage subcontractor onboarding, deliverables, documentation, and administrative compliance across both contracts.
- Develop, track, and update Statements of Work (SOWs) for internal and subcontractor tasks.
- Create and manage integrated schedules in SFIM’s, TSSR and Microsoft Project aligned to CEMAT and ESU execution plans.
- Lead, develop, prepare, and update submissions of the Technical Schedule Status Report (TSSR) in support of ongoing production milestones.
- Develop, manage and distribute high-visibility deliverables including the Commanding Officer’s (CO's) Agenda, Phase Management Plans, and weekly execution reports.
- Support coordination of resources, schedules, and documentation across production, program management, and logistics functions.
- Generate reports, meeting minutes, and correspondence for leadership reviews.
- Attend program specific meetings to capture action items to distribute to RCOH leadership.
- Maintain scheduling, calendars, and communication logs for RCOH leadership personnel.
- Support audits, quality reviews, risk assessments, and reporting requirements for both CEMAT and ESU program.
- Maintain administrative control systems including timekeeping, delay and disruption logs, lessons learned, risk management, rework and deliverables repositories.
- Manage internal tracking of deliverables, contract documentation, monthly reports and change orders (condition reports).
- Assist in logistics, supply requests, and procurement documentation as required.
- Complete other duties as assigned.
What You Must Have
- 4 years relevant progressive experience with Bachelors in related field; 2 years relevant progressive experience with Masters in related field; or High School Diploma or equivalent and 8 years relevant progressive experience.
