This position has an end date of 08/31/24, renewable based upon availability of funding, work performance, and progress toward goals.
Purpose
Provide support to the Director of Undergraduate Medical Education, Psychiatry Clerkship Director, and Electives/Assistant Clerkship Director on matters related to undergraduate and medical student education and recruitment in the Department of Psychiatry & Behavioral Sciences.
Responsibilities
Communicate with the students, educators, and the Office of Undergraduate Medical Education in relation to the clerkship (i.e. schedules, grades/appeals, absences/illnesses). Coordinate schedules for students and educators to include rotation schedules, lecture schedules, meetings and exams. Assist in identifying areas of need in the clerkship and implementing solutions.
Maintain MS4 Elective descriptions and timelines. Assure MS4s, including visiting students, are appropriately credentialled for all electives.
Maintain syllabus and other documents within learning management systems. Use and maintain databases such as Canvas and One45 for grading and systemic evaluation. Assist in preparation and collection of student and faculty performance evaluations.
Support students interested in psychiatry by arranging meetings with faculty and updating mentorship list. Manage undergraduate observership requests and student onboarding. Assist in creating and maintain a workflow for interested students to get mentorship from the department.
Distribute non-educational but essential items such as parking passes, etc. Proctor and score exams as needed. Assist in identifying areas of need in the curriculum process.
Assist Medical Director of Undergraduate Education in administrative operations related to educational initiatives and research including AMPATH. Keep scholarship information up to date and advertise opportunities for student engagement in national meetings. Coordinate scholarship funding with Dell Med and assist students in receiving reimbursement from those funds.
Perform other duties as assigned.
Required Qualifications
Bachelor’s degree and five years of experience coordinating or administering a program (or Master’s degree and three years of experience). Excellent written and verbal communication. Ability to manage work complexity involving a magnitude of tasks and responsibilities necessary to complete the work. Relevant education and experience may be substituted as appropriate.
Preferred Qualifications
Timeliness, concise and clear communication with appropriate teams, appropriate follow-up, and organization. Creativity in identifying ways to increase efficiency. Leadership experience. Academic program management experience; knowledge of and ability to manage educational programs, including research projects, extra-curricular activities, and academic planning.
Salary Range
$50,000+ depending on qualifications
Working Conditions
Repetitive use of a keyboard at a workstation
Hybrid role. Required onsite work 1-2x/week and remote work 3-4x/week.
