About the role
This is a remote position.
40 hours a week Mon–Fri, 8:00 AM–5:00 PM PST ( includes 1-hour unpaid break) Overview : We are seeking a top-tier Project Administrator to support our dynamic team in managing a substantial workload of initiatives. This role focuses on administrative oversight to ensure efficient project execution, resource coordination, and on-time delivery in a fast-paced environment. The ideal candidate is someone with exceptional organizational prowess, a collaborative spirit, and the ability to contribute directly when projects hit critical phases. Key Responsibilities: - Manage and oversee multiple projects using Asana, including task tracking, progress monitoring, and enforcement of milestones to maintain workflow efficiency. - Identify potential resource needs (such as tools, materials, or documentation) and coordinate with relevant teams or stakeholders to facilitate access and resolve bottlenecks. - Track project timelines, budgets, and expenditures to anticipate risks, report on status, and support adjustments for timely completion. - Serve as a proactive team player by stepping in to assist with critical tasks, handling urgent administrative duties, or providing hands-on support during high-pressure periods.Requirements
- Experience as an Executive assistant / Project Manager is a must - At least 3-5 years in project administration, coordination, or related roles, ideally in tech, operations, or high-growth sectors. - Proven experience with Asana or similar project management software, demonstrating ability to optimize workflows in complex, high-volume environments - Strong organizational skills with a keen eye for detail and the capacity to handle multiple priorities simultaneously. - Excellent communication and interpersonal skills to collaborate effectively with team members and stakeholders. - Demonstrated ability to work as part of a team, including flexibility to contribute beyond core duties when necessary. Preferred Qualifications: - Certifications in project management (e.g., CAPM, Agile fundamentals) or tool-specific training (e.g., Asana Certified Pro). - Familiarity with complementary tools like Slack, Google Workspace, or Microsoft Project for integrated collaboration. - A track record of supporting successful project deliveries in resource-constrained or deadline-driven settings.
