Description
The Client Registration Coordinator is responsible for welcoming visitors and checking-in clients, coordinating client and therapist schedules, assisting with file management and office organization, and contributing to a positive office environment for all. This individual is the first point of contact whether in person, on t phone, or through written communication; thus, must provide quality customer service that aligns with the agency’s values and standards of care.
Requirements
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Answers phones and resolves caller needs, or directs caller to the appropriate party.
- Responds to voicemails, emails, text messages, and any other form of communication timely and professionally.
- Greets and checks-in clients upon arrival, obtain/verify insurance and demographic information, and provide forms or paperwork as needed.
- Gather referring source information for all clients
- Upload insurance and ID cards into EMR System
- Update referral tracking database once new client information is obtained
- Logs all client communications into the EMR system
- Schedules clients for intake appointments according to our policies.
- Educates visitors on company programs and services.
- Ensures clients have appropriate transportation and arrange accordingly.
- Provides clients with support and guidance as needed.
- Continuous follow-up with potential clients.
- Following the back-end processes and workflow so clients can receive services.
- Open authorizations for services.
- Ensure accurate record keeping.
QUALIFICATIONS:
- Ability to handle a fast-paced environment and prioritize tasks based on importance.
- Detail-Oriented.
- Collaborative.
- Comfort with Microsoft Office, Google Suits, and EMR systems.
- Maintains confidentiality and all regulations regarding HIPAA and 42 CFR Part 2.
- Verbal and written communication skills.
- Organizational skills and attention to detail.
- interpersonal skills with the ability to effectively build relationships with individuals of all ages, ethnicity, education, and work experience.
- Reliable, ethical, and honest work ethic.
- Exhibits professionalism and a friendly demeanor, and is a positive representative of the company over the phone and in person.
EXPERIENCE AND EDUCATION:
- Minimum of a High School Diploma or equivalent required
- Minimum of 2 years experience in administration with medical administration preferred.
- Experience in mental health and addictions or related field.
REQUIRED CERTIFICATION OR LICENSE:
- CPR and First Aid Certified
PHYSICAL ABILITIES:
- Must have the ability to stay in a stationary position for long periods of time
- Must have the ability to occasionally move about the office
- Ability to sit and use a computer for long periods of time.
- Manual and physical dexterity needed to operate a computer keyboard and handle paper documents.
- Sufficient near vision ability to read information appearing on computer display screens, in hand-written forms, and printed on paper.
- Adequate hearing and verbal abilities to communicate effectively in person and by telephone.
WORKING CONDITIONS:
Work is performed in an office or other environmentally controlled room.
