As a Client Service Associate on the Retirement Services team, you’ll play a pivotal role by performing customer service and receptionist functions in our Providence, Rhode Island Office. As the first point of contact for our business, you will play a crucial role in creating a welcoming atmosphere for clients, manage administrative tasks and support our wealth planner, and other senior members of our team. In addition to an earnest desire to help people, we are looking for the ideal candidate to complement the team’s existing talents. For this Client Service Associate role, we are seeking a candidate with proven customer service, reception and administration experience. Responsibilities:
- Greet and welcome clients and visitors with professionalism and warmth.
- Answer and direct phone calls, take messages, and handle inquiries.
- Schedule and confirm client appointments for wealth planners.
- Maintain a tidy and organized reception area and conference rooms.
- Assist with administrative tasks such as filing, data entry, and document preparation.
- Manage incoming and outgoing mail, packages, and correspondence.
- Ensure client confidentiality and compliance with firm policies.
- Provide light support with office supplies, event coordination, and special projects.
- Handle and track distributions/loan transactions.
- Monitor incoming Service-related email
- Previous experience in a receptionist or administrative role, preferably in a financial or professional services setting.
- Knowledge in the Retirement Planning Services Industry
- Excellent communication and interpersonal skills.
- Strong organizational abilities and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office management software.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Professional demeanor and ability to maintain confidentiality.
