Manager of the Merrilee Alexander Kick College of Business and Entrepreneurship Operations
JOB SUMMARY
The Manger of the Merrilee Alexander Kick College of Business and Entrepreneurship Operations oversees all administrative and operational functions within the Merrilee Alexander Kick College of Business and Entrepreneurship. This role is responsible for managing day-to-day administrative operations, including coordinating the Dean’s calendar, appointments, correspondence, and special projects. It requires high initiative, sound judgement, and independent critical thinking. Acting on behalf of the Dean, the Manger communicates university policies and procedures to faculty, staff, and students and maintains essential contacts within the university and with external agencies.
The Manager also performs complex clerical duties, maintains confidential records, prepares periodic reports, and ensures the security of records, data, and equipment. The role includes supervising staff, establishing job standards, evaluating performance, and assisting in staff selection and training. Independent judgement and technical expertise are critical in supporting the college’s overall operational effectiveness. Work is performed under moderate direction, and performance evaluation is based on completing assignments and the results obtained. The performance evaluation is conducted through the performance evaluation system and in accordance with University Policies & Procedures.
ORGANIZATIONAL RELATIONSHIPS
Reports to: Dean, Merrilee Alexander Kick College of Business and Entrepreneurship
Supervises: Senior Secretaries, Secretaries, other Clerical Support Staff, and Student Assistants
ESSENTIAL DUTIES - May include, but not limited to the following:
Administrative Operations Management
• Serves as the primary assistant to the Dean, managing the calendar, appointments, correspondence, filing systems, and special projects.
• Supports the Leadership Team, including the Senior Associate Dean and Associate Deans, with travel coordination, scheduling, and internal college inquiries.
• Interprets and communicates university policies and procedures to faculty, staff, administrators and students. • Maintains effective communication with other university offices and external agencies to ensure seamless collaboration.
• Builds and sustains relationships with departments across TWU and external partners.
• Coordinates special assignments and projects as directed by the Dean and Associate Deans.
College Operations and Strategic Administration
• Plans and coordinates all internal college events including, but not limited to: retreats, college-wide meetings, Dean’s Student Advisory Board meetings, Dean’s Leadership Circle, farewells, retirement celebrations, birthdays, and other Dean-directed events.
• Manages college operations projects directed by leadership, including building infrastructure, space planning, PIF requests, design projects, and communications with internal and external stakeholders.
• Maintains accurate college floor directories, including faculty/staff names and office locations.
• Manages the Dean’s master files for accurate record-keeping related to college-wide policies, credentialing, job descriptions, onboarding materials, and offer letters.
• Creates and maintains master payroll spreadsheets each semester for faculty, adjuncts, and graduate assistants, and distributes them to department administrators for processing.
• Reviews all administrative materials submitted for Dean and leadership approval, including contracts and credentialing documentation.
• Oversees inventory, space utilization, and logistics for college-wide operations and special events.
• Collaborates with the college’s budget analyst to review financial activity, reconcile expenditures, and assist with developing and managing the college’s annual budget.
• Acts as the primary liaison with Facilities Management regarding office moves, renovations, space requests, and maintenance.
• Supports the Dean and Associate Deans in operational planning, strategic reporting, and implementing college-wide initiatives.
Staff Supervision and Development
• Recruits, hires, and supervises student assistants and designated staff; oversees training, timesheet approvals, and task delegation.
• Conducts monthly meetings with departmental administrators to ensure smooth daily operations and address process questions or concerns.
• Onboards and trains all new departmental administrative staff.
• Develops and maintains Standard Operating Procedures (SOPs) for both college-wide and departmental administrative functions.
