About the role

The Training Operations Specialist will provide training operations support to ensure high-quality associate learning experiences for new hires, tenured associates, and leaders within the Institutional division. This position joins a dynamic group and will plan, coordinate, manage, and track all aspects of multiple training programs. The responsibilities for this role include communication management, training enrollment, vendor relations, and schedule creation.

Primary Job Responsibilities 

  • Coordinate logistics and scheduling for in-person and virtual training sessions for all field associates. These logistics include data tracking, travel accommodations, on-call weekends, meeting space, transportation contracts, catering, evening group events, printing materials, inventory management, score tracking, surveys, content storage, attendance, meeting invitations, and set up and tear down for training sessions. 

  • Build and maintain automated business solutions using SharePoint, Power BI, Power Apps, and Power Automate to streamline applications, enrollments, approvals, and other business processes 

  • Partner with Talent Acquisition to track and manage enrollment for multiple Training programs (both in-person and web-based) 

  • Develop relationships and manage expectations with hotels, transportation companies, restaurants, event venues, caterers, printing companies, and other vendors 

  • Manage templates for the logistics team including task checklists, class documents, metrics tracking tools, and budget tracking spreadsheets 

  • Support the design and development of all critical training initiatives  

  • Evaluate and experiment with innovative learning tech and data management tools 

  • Solve complex problems by partnering with peers and advocating for the best, most efficient training solutions 

  • Piece together comprehensive training components to create full learning roadmaps, schedules, and communications 

  • Manage training schedules utilizing Microsoft Outlook, WebEx Meeting Center, WebEx Training Center, and Microsoft Teams to coincide with training agendas.  

  • Store and organize new and existing training data and records in useful, actionable ways.  

  • Partner and consult with the Instructional Design team and Delivery team to identify reporting and analytics needs to achieve project outcomes 

  • Review training materials and systems for quality assurance 

  • Foster and maintain relationships with the area sales offices, session trainers, other training divisions, IT, and any adjoining Ecolab departments 

  • Attend to student needs including questions, illness, travel arrangements, special requests, and all other student-related issues before, during, and after their Training sessions to foster an excellent student experience. 

  • Other job duties as assigned. 

 

Minimum Qualifications 

  • Bachelor’s Degree 

  • 2 years related administrative experience, preferably in a Learning environment.  

  • 5 years working with Microsoft software including Word, Excel, PowerPoint, and SharePoint. 

  • Demonstrated ability to work independently and complete tasks within specified deadlines.  

  • Interpersonal skills to interact with associates at all levels, vendors, and team members. 

  • Proven ability to multi-task and prioritize in a fast-paced environment. Excellent organizational skills and attention to detail.  

  • Ability to work virtually with other team members.  

  • Strong written and verbal communication skills.  

  • Highly motivated with demonstrated ability to take initiative. 

 

Preferred Qualifications 

  • 1 year working with Microsoft Forms, Microsoft Teams, Power Automate, and Power BI.  

  • Demonstrated ability to track and analyze data using data management tools/systems 

  • Proactive, able to learn new technologies quickly, and adapt to changing priorities. 

  • Ability to solve training-related technical challenges with existing toolset.
