About the role

The Executive Talent Acquisition (TA) Coordinator provides a blend of administrative and recruiting responsibilities, supporting the Vice President of Global Executive TA with administrative duties and the Executive Recruiters with full life cycle recruiting for senior level job openings. 

In this role, the TA coordinator will manage the VP's calendar, process invoices, order supplies, organize team meetings, and prepare essential materials, along with other related administrative duties. This role will assist with executive recruitment, coordinating the selection of top-tier talent for senior roles, including Corporate and General Manager positions. The position has significant focus on ensuring a seamless candidate experience, from scheduling travel and interviews to delivering crucial materials and maintaining clear communication with all stakeholders.

The TA coordinator serves as the backbone of the Executive TA team’s recruitment operations, meticulously managing requisitions and candidate data in the applicant tracking system (ATS) and ensuring accuracy in offer letters and audits. Additionally, this position will support recruiters by tracking metrics, outcomes, and developing insightful reports and presentations.

EXPECTED CONTRIBUTIONS

CORE WORK ACTIVITIES:  

Talent Acquisition Process Management

  • Collaborate closely with Directors to ensure efficient progression of job requisitions through the talent acquisition process.
  • Manage requisition details in the ATS, ensuring completeness and visibility to candidates, and update candidate statuses.
  • Assist recruiters with maintaining accurate metrics and developing reports and presentations.
  • Conduct quality assurance audits of requisition files to ensure compliance with company standards.    

Sourcing and Screening

  • Execute targeted sourcing activities (e.g., General Manager Open Position Announcements, LinkedIn, posting jobs on other relevant websites etc.) to promote job opportunities internally and externally.
  • Screen candidate resumes to determine eligibility for recruiter phone screens.

Interview Coordination

  • Use AI technology (e.g. Paradox) for scheduling recruiter screens and interviews.
  • Coordinate candidate interview by collaborating with other senior administrative assistants address and resolve scheduling any logistics matters.  
  • Ensure a positive candidate experience by coordinating candidate travel, interview logistics, and delivering appropriate interview materials.

Candidate Assessment and Offer Management

  • Manage assessment results for finalist candidates using vendor software.
  • Prepare and finalize offer letters, ensuring accuracy before distribution.
  • Monitor pre-hire checks in HireRight, addressing any issues to ensure timely progression.
  • Track offer acceptances and ensure accurate documentation.

Administrative Support

  • Create and maintain open requisition files, ensuring all required forms are in the file upon initiation of recruiting process.
  • Process invoices includes: Bank of America TA credit card bill for all logistics travel organized by RPO and retained teams, Uber for car service and background check vendor.
  • Process expense reports and candidate travel reimbursements as needed.  
  • Manage the VP’s calendar
  • Organize team meetings and prepare meeting materials.
  • Audit requisition files on shared drive and in mHUB upon close of requisition.

CANDIDATE PROFILE  

Required Education and Experience  

  • Minimum 1 year of administrative and/or recruiting coordinator experience, ideally with supporting multiple managers.
  • Advanced knowledge and proficiency in Microsoft 365 Suite.  
  • Ability and desire to learn new technology and other related skills.
  • Ability to handle and manage extremely sensitive and confidential information in accordance with the company’s global data privacy regulations (GDPR).
  • Exceptional organizational skills and the ability to handle many assignments and details simultaneously.
  • Strong team player; easily builds relationships with others (coworkers, managers, candidates, etc.).
  • Has a growth mindset

Preferred Education and Experience  

  • Experience in Human Resources functions
  • BA or BS degree in a related field BS degree in a related field
  • Knowledge of Oracle HRIS
