Edwards Information Technology (IT) department is looking for a detail-oriented executive assistant to support the daily routines of four dynamic IT executives. This position requires on-site presence in our Irvine, California Global HQ, strong organizational skills, ability to handle simultaneous tasks with ease, and proven experience to ensure smooth operation of the respective functions.

You will make an impact by...

  • Managing schedules and calendars of four IT leaders with attention to accuracy and detail, including keeping Executive informed of calendar changes and change requests
  • Scheduling domestic and international travel in compliance with existing policies and procedures, to optimize use of Executive's time and schedule
  • Organizing meeting/event; including scheduling, sending reminders, and catering orders when necessary
  • Working closely with two other department admins, backing them up during time off, and coordinating any shared responsibilities
  • From time to time, having the flexibility to work some non-traditional hours when the executive’s schedule requires the support
  • Using all computer programs relevant to the position to support development of correspondence, presentations, reports, etc.
  • Coordinating and supporting special projects; including coordinating vendors, materials, and resources
  • Performing general administrative activities including screening and directing phone calls/visitors, composing and typing general correspondence, and minor accounting duties
  • Other incidental duties

What you'll need (Required):

  • H.S. Diploma or equivalent + 6 years of directly related experience including executive administrative support Required
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
  • Ability to manage complex travel arrangements, both domestic and international
  • Ability to manage internal and external confidential information with utmost discretion
  • Must be able to work onsite in Irvine, CA


What else we look for (Preferred):

  • Prior experience supporting multiple members of a leadership team is strongly preferred, at the VP or executive level
  • Experience in a large, global organization is highly preferred
  • Experience with prioritization of urgent tasks, maintaining time commitments and optimizing time management
  • Excellent written and verbal communications skills, including negotiating and relationship management skills
  • Advanced problem-solving skills
  • Completes tasks in resourceful and effective ways
  • Works autonomously within established procedures and practices
  • Ability to build and maintain strong relationships across the organization to influence and achieve objectives
  • Ability to work in a fast paced, dynamic work environment
  • Strict attention to detail
  • Ability to interact professionally with all organizational levels

For California, the base pay range for this position is $69,000 to $94,000 (highly experienced).
