Position Summary

The primary purpose of this position is two-fold: first, to manage the front desk at the law school clinic, which includes process incoming phone calls to clinic by either directing caller to student or other personnel, or referring caller to other places for assistance, managing incoming and outgoing mail, responsible for maintaining/ordering office supplies and assist/report with building issues as necessary. The other primary purpose of this position is to provide clerical support to the clinical program by providing support to Clinic Director, being the point person for CLIO, a legal case management system, including establishing and managing student accounts, generating clinic data when necessary. Other duties include support for three clinics, Criminal Trial Clinic, Federal Pro Se Legal Assistance Clinic, and Patent Law Clinic. Other duties may be assigned as needed.


Essential Duties and Responsibilities

Front desk duties, include but are not limited to: answering all incoming phone calls and directing caller to appropriate person or clinic and if clinic cannot assist, direct caller to other clinics, agencies and legal aid for possible assistance; process incoming and outgoing mail; provide building access and greet visitors, including clinic clients, students and other Detroit Mercy personnel; assist with maintaining office supply inventory and ordering supplies; assist with reporting building and equipment issues; assist with conference room reservations.

  • Criminal Trial Clinic – assist with clinic orientation each semester, create contact information in CLIO as directed. Provide other assistance as needed.
  • Federal Pro Se Legal Assistance Clinic – provide CLIO support as needed, including maintaining case files and providing support to the Clinic Director as needed.
  • Patent Law Clinic — provide CLIO support as needed, including maintaining case files, as well as providing potential clients with the clinic application and communicating to the professors regarding same. 
  • Other clinic support as needed 

Requirements

  

Minimum Qualifications

  • Education – high school diploma or GED.
  • Employment -Two years to five years (Equivalent combination of Education and Employment).

Preferred Qualifications

  • Adaptability and team work a must.
  • Positive attitude.

Knowledge, Skills, and Abilities

  • Excellent customer service skills a must as this position interacts regularly with students, faculty, clients and potential clients who are seeking assistance.
  • Excellent verbal and written communication skills.
  • Ability to answer and direct phone calls and to take and distribute accurate messages.
  • Ability to receive, sort and distribute incoming mail.
  • Ability to prepare and send outgoing mailings and packages.
  • Ability to photocopy, scan and fax documents as required.
  • Ability to type documents and correspondence as necessary.
  • Data entry into electronic case management system requiring accuracy and attention to detail.
  • Proficient in use of emall and internet.
  • Monitoring and ordering inventory of office supplies.
  • Knowledge of relevant software applications including MS Office.
  • General organization and time management skills necessary, including the ability to multi-task.
  • Report with building issues as needed.
  • Ability to maintain confidentiality.
  • Experience with CLIO case management system a plus.
  • Legal experience or education a plus.

Physical Requirements

Job may require lifting light weight objects (1 to 10 pounds) with no repetitive bending or stooping. Occasionally lift average weight objects (1 to 10 pounds).


Work Environment

Regular exposure to favorable conditions such as those found in a normal office.


Salary/Pay Information

Commensurate with experience


Anticipated Schedule

Monday – Friday, 8:30 am – 5:00 pm
