Occupational Summary

 

The Dean’s Office Staff Assistant will provide administrative support to the Office of the Dean and Academic Administration.  The incumbent must be able to apply knowledge, skills, and prior experience to provide administrative support to the department in the production of complex, comprehensive materials and reports.  Given the highly sensitive and confidential nature of the work of the Dean’s Office, discretion, good judgment, sensitivity and respect are required.

 

Work Performed

•    Assist in the collection of materials and preparation of complex documents and reports for various internal committees.
•    Gather data and statistics for use in reports to external agencies. Compile data from various departments and enter into database or report template for review.
•    Provide recommendations on and implement improvements in administrative workflow and office functions as appropriate.
•    Interpret and apply policies, procedures, and direction as applicable to the office and work functions.
•    Compile and organize faculty evaluation materials for reappointments.
•    Support the Professional Skills and Appointments Committees, including scheduling meetings, arranging rooms, organizing materials, and other administrative functions.
•    Maintain faculty profiles on the website.
•    Update the faculty resource manual with new policies and procedures.
•    Assist with correspondence to the Provost’s Office regarding faculty administration.
•    Oversee the administrative aspects of the Law School’s named lectures.
•    Assist as needed in the preparations for various Dean’s Office events. 
•    Document deadlines for projects and materials and alert responsible parties to any approaching deadlines.
•    Assist with calendaring faculty meetings and compiling the faculty meeting agendas. 
•    Update various listservs.
•    Provide backup assistance answering the telephones and greeting visitors to the Dean’s Office.
•    Serve as a resource to the community concerning Dean’s Office activities.
•    Perform other related duties incidental to the work described herein.

 

Qualifications

Education:
Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post-secondary education in secretarial science or a related business field.

Experience:
Work generally requires four years of related secretarial/clerical experience to acquire skills necessary to administer complex office functions related to office management, communications, and budgetary/accounting activities.

OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE

Skills and Abilities Preferred:
The qualified applicant will have the following skills:
•    Strong word processing, spreadsheet, and power point skills
•    Excellent oral and written communications skills; the ability to interact with all levels of faculty, staff and university officials
•    Ability to work independently as well as in a cooperative setting
•    Exceptional organization skills and attention to detail
•    Excellent problem-solving abilities
•    Good control and follow-up of own work

Education
