Description
The Lemuel Shattuck Hospital (LSH) operated by the Massachusetts Department of Public Health (DPH) is seeking an experienced individual to provide administrative support for the Clinical Laboratory. The incumbent would be performing duties including Lab reports verified in Meditech, maintaining files, maintaining all regulatory manuals, preparing statistical reports, handling correspondence, maintaining time logs, work schedules and other related duties.
Hours: Monday-Friday, 8:00-4:00PM, Weekends Off
Duties and Responsibilities (these duties are a general summary and not all inclusive):
- Organize and file correspondence, reports, applications, etc.
- Answer calls and provide routine information about departmental services.
- Address inquiries related to laws, rules, regulations, policies, and procedures in the Department of Clinical Laboratory.
- Prepare standardized forms such as routing slips.
- Receive and distribute incoming mail and memoranda.
- Operate standard office machines and equipment, including calculators, fax machines, copiers, and computers.
- Review forms, lists, documents, correspondence, and applications for accuracy and completeness.
- Schedule or arrange conferences, meetings, interviews, appointments, and similar activities.
- Notify appropriate parties orally and/or in writing about meetings and conferences.
- Compile data for analysis based on monthly statistical information.
- Proofread typed material for grammatical, punctuation, and spelling errors, ensuring proper format, accuracy, and completeness.
- Compose routine memos and letters, such as requests for information and confirmation of meetings.
- Communicate with reference laboratories regarding invoices, testing information, and related activities.
- Prepare bi-weekly time logs, track overtime reports, and update the daily work schedule calendar.
- Verify and file LabCorp reports (EMR).
- Under the direction of the Director of Clinical Lab, access the LAB portion of the Hospital Information System to acquire patient-specific information for supervisors or providers/nursing personnel.
- Maintain inventory control of office supplies.
- Distribute, fax, and/or mail patient results to appropriate physicians/departments/institutions and communicate results.
- Maintain patient, employee, and department confidentiality while fulfilling all duties.
- Prepare agendas and minutes of meetings.
- Coordinate all administrative activities for the Clinical Laboratory.
- Reports to the Clinical Lab Supervisor for periodic reviews of state, federal, and JCAHO requirements.
- Updates and maintains all components of the Clinical Lab Policy/Procedure manual.
- Updates and maintains all aspects of the Clinical Lab Safety Manual.
- Updates and maintains all aspects of the Clinical Lab Continuing Education Manual.
- Provides support with Employee Performance Forms by editing, organizing, filing, and distributing copies of individual employees’ (state A-C) EPRS forms.
- Assists staff with difficulties related to the SSTA System.
