We are looking for a motivated Executive Sales Administrative Assistant to join our growing team in our Boston office, take a look !
Responsibilities include:
- Support senior leadership of US Retail Distribution.
- Responsible for calendar management and scheduling for department staff.
- Arrange travel and assist with event planning for department staff.
- Prepare expense reports, process invoices and track expenses for department staff.
- Organize and attend meetings, take detailed notes, and assist with project management.
- Interact directly with key internal personnel and clients in a highly professional manner.
- Review incoming communications and coordinate an efficient and timely response.
- Respond independently to inquiries and situations using discretion and judgment.
- Prepare documents and draft communications on behalf of senior management.
- Apply retention principles to properly store department records and confidential data.
- Maintain department policies & procedures. Ensure records are accurate and up to date.
- Complete various ad hoc projects and support rollout of strategic initiatives.
- Train and assist teammates to utilize business applications and administrative systems.
- Work with others to ensure the effectiveness of the sales support ecosystem.
- Identify opportunities to enhance and optimize internal processes.
Job Requirements:
- Highly motivated, enjoys collaborating and thrives in a team setting.
- College Degree preferred with 1 to 2 years of business experience.
- Proficiency with MS Office suite (Outlook, Word, PowerPoint & Excel).
- Excellent organization and time management skills.
- Detail orientated and able to work in a fast-paced environment.
- Ability to set priorities, balance multiple tasks, meet deadlines.
- Adaptable to rapidly changing priorities and able to handle confidential information.
- Strong interpersonal and communication skills, both verbal and written.
