Typical Functions: This position serves as administrative support for the Tourism Division. Job duties include overseeing all purchasing responsibilities (including but not limited to processing requests for payment, purchase orders, goods receipts, credit card purchases, supply orders, and associated files and recordkeeping), making travel reservations for staff, maintaining asset inventory, financial and compliance records of multiple grant programs, maintaining department database of contacts and leads, fleet maintenance, and performing various administrative duties including but not limited to assisting the tourism industry and general public via phone and email requests, mail processing, and filing. Strong writing, communication, organizational and interpersonal skills are required. Knowledge of the AASIS/SAP system is preferred. A driving record check will be performed.
Knowledge, Abilities, and Skills: Proficiency in Microsoft Office (specifically Excel, Word, and Outlook), purchasing procedures, and financial recordkeeping. Knowledge of record keeping procedures. Knowledge of computers and software applications. Ability to establish and maintain filing systems. Ability to operate standard office equipment. Ability to analyze documents to determine compliance with rules, regulations, and procedures. Ability to communicate both orally and in writing.

Minimum Qualifications: The formal education equivalent of a bachelor’s degree in public administration, general business, or a related field; plus three years of experience in a specialized or related field applicable to work performed. Other job-related education and/or experience may be substituted for all or part of these basic requirements.

Job Summary
The Administrative Analyst plays a pivotal role in supporting the strategic operations of a department by providing advanced analytical, operational, and administrative support. This position requires the ability to manage complex tasks, evaluate processes, and implement improvements that enhance overall efficiency within the agency. The Administrative Analyst will collaborate with senior leadership, provide insight through data analysis, and contribute to the development of policies and procedures that support the agency’s goals.Primary Responsibilities

Oversee and coordinate office operations, ensuring that processes are aligned with agency objectives. Ensure that all records, documents, and files are maintained in accordance with state laws and agency guidelines. Organize and manage both physical and digital records to ensure that information is easily accessible and complies with confidentiality requirements.
