About the role

Description

The Associate Dean of the Medical Assistant (MA) and Medical Billing and Coding (MBC) Programs directly assists the Dean of the MA and MBC Programs and in the absence of the Dean, oversees the daily operations of the department. The position is also responsible for being pro-active in managing both the student externship placement and the program student population, by identifying, engaging, and aiding in the resolution of student issues/concerns, resulting in successful and satisfactory completion of the program in which the student enrolls. 

 

Operations:

  • updating and preparing documents and correspondence for the department
  • assisting in the preparation of reports by gathering data, analyzing, evaluating and developing corrective action plans
  • preparing PowerPoint presentations as needed
  • updating and maintaining faculty files
  • coordinating and tracking information for new and current faculty
  • coordinating make-up and academic challenge exams
  • assisting at, and in preparation for faculty meetings
  • updating faculty and student handbooks, as necessary
  • taking and preparing minutes at meetings- faculty and PACs
  • scheduling appointments and meetings for reinstatement and LOA returns
  • collecting and compiling data from student, graduate and employer surveys
  • send student notifications; assist in the SAP /probation process;
  • assist with the submission and verification of final grades
  • organize academic records and prepare for long-term storage
  • ensure ample supply of office forms, assist with graduation; oversee scholarships
  • assist in class/teacher scheduling process
  • respond to student and instructor question/requests

Retention Reporting & Managing Student Population:

  • Actively engage in school retention efforts/activities including documented communication with both students and administration regarding attendance and progress
  • Manage tracking reports of student attendance and performance
  • Monitor LDA report and work alongside academics department to discuss retention issues.
  • Assist in the documentation and monitoring of Satisfactory Academic Progress (SAP) advising; Leave of Absence (LOA), Re-entry, and other related paperwork.

Academic Advisement:

  • Identify and assist at-risk students and provide academic advising services through outreach and phone calls to students who have missed classes.
  • Coordinate academic assistance, skills development, and tutoring programs.
  • Provide leadership in identifying and resolving problems with students and respond to students unique academic needs.

Student Services Support:

  • Attend student orientation events; establish contact with incoming students/programs.
  • Performs special projects and other school administrative functions as deemed necessary by the supervisor.

Externship Placement:

  • Responsible for scheduling orientation to externship placement
  • Assign, monitor and schedule student externship placement
  • Work closely with Career Services regarding externship to placement collaboration
  • Visit externship sites regularly
  • Troubleshooting externship issues and concerns
  • Communicate regularly with externship supervisors
  • Maintain record keeping of all externship documents
  • Monitor student’s externship attendance
  • Schedule registration/certification review classes (boot camp)
  • Act as liaison between administration/faculty and students to ensure a smooth level of communication regarding academic policies, procedures, midterm/final progress and any needed remediation
  • Actively engage in school retention efforts/activities including documented communication with both students and administration regarding attendance and progress
  • Improve retention rates through initiatives in collaboration with the Director of Student Services
  • Attend LDA meetings, and monitor LDA aging reports and develop action plans in collaboration with faculty/student services to improve attendance
  • Monitor SAP, student progress and attendance, LOA, and Re-Enters
  • Review, follow-up/intervene on “at-risk” students (poor attendance, behavior concerns, weak academic performance, faculty concerns, SAP violations) and communicate the progress to the Program Director, Student Services and Director of Education.
  • Identify and assist eligible students that have been withdrawn from the program to reenter into his/her program of study to improve completion rates.
