COUNTY OF HAMILTON, INDIANA
WORK SCHEDULE: 8:00am – 4:30pm, M-F
STATUS: Full-time
FLSA STATUS: Non-exempt
HOURLY RATE: $26.9583 per hour

Incumbent serves as Administrative Clerk and Assistant Court Reporter for Superior Court 6, responsible for preparing, obtaining, and organizing electronic and paper court documents, composing orders for protection, workplace violence restraining orders, and occasionally, no contact orders, and inputting information into statewide registry. Incumbent is first to answer the office telephone and fax machine, and to deal in person with public and professionals who appear in or and/or walk into office. Incumbent is also required to perform position duties and responsibilities of Court Reporter, on a backup and intermittent basis.
DUTIES:
Answers telephone and greets office visitors, including determining purpose of call/visit, providing information on how to obtain various forms, guidelines and information as requested, and/or directing/transferring to appropriate individual or department. Resolves problems with public as referred by other Department personnel or as they otherwise occur.
Reviews daily new arrest log from the jail, schedules hearings, prepares documents for court session, and notifies attorneys, court personnel, probation/community corrections staff, and prosecutors of any new arrests.
Prepares, obtains, and organizes court documents/electronic files, including Chronological Case Summary and individual BMV records. Ensures court has appropriate documents in electronic format for proceedings.
Scans/Attaches documents as needed into the appropriate case electronically, and processes them through the electronic case management system.
Performs court check-in, including distributing needed documents to appropriate parties.
Prepares for Night Court, including assembling forms/documents and preparing check-in location and courtroom. Works during Night Court sessions when needed.
Electronically processes modification and dismissal requests, as well as transfer orders in existing protective orders, workplace violence restraining orders, and no contact orders through the electronic case management system for the Judge’s review and ruling.
Submits information regarding orders for protection, workplace violence restraining orders, and no contact orders into statewide electronic protective order registry; assists other County courts with input and transmission of data into registry.
Through the electronic case management system, processes affidavits of indigency from pauper defendants, prepares pauper counsel appearances and distributes notification of such appointments to defendant, appointed counsel, and the Prosecutor’s Office.
Assists with small claims, dissolution, and other civil cases, including scheduling new cases and processing electronically filed documents for Judge’s review.
Maintains the daily log of referrals to the Self-Help Legal Center.
Scans/Processes courtroom orders/documents into the electronic case management system, as needed.
Performs duties of court reporter in his/her absence. (See Court Reporter Position Description for when does so perform, must also fulfill those duties, responsibilities, and requirements.)
Assists bailiff with jury trials as needed.
