About the role

Temporary position for 12 months

We are seeking a proactive and detail-oriented Team assistant, Real estate services to join our Real Estate Services team. If you excel at managing multiple priorities and building strong working relationships, this could be a position for you! This role supports the daily operations and administrative functions of our growing portfolio, helping ensure smooth coordination across tenants, landlords, vendors, and internal teams. More specifically, you will be required to: 

  • Manage periodic maintenance scheduling, calls, emails, and correspondence for the team. Coordinate meetings, prepare minutes, and follow up on action items

  • Oversee vendor management, including contracts, payment processing, and purchase orders. Support budgeting and financial reporting activities

  • Coordinate tenant service requests, including furniture moves, conference room setups, and waste management. Communicate effectively with landlords, tenants, and technicians to ensure seamless service

  • Handle compliance documentation such as air/water quality reports, and support decarbonization initiatives and BOMA certifications

  • Assist in the planning and logistics for team events and emergency management activities like fire drills and training sessions

  • Manage access card verification processes, respond to client inquiries through Corrigo (real estate ticketing tool), and provide administrative support for special projects, such as renovations and tenant experience enhancements.

What you bring to the table  

  • College diploma in administration or in a related field  

  • A minimum of one year of relevant experience  

  • Please note that other combinations of qualifications and relevant experience may be considered  

  • Experience in administrative support, preferably in real estate or a similar sector 

  • Advanced proficiency in Microsoft Office Suite and knowledge of management softwares like Planon and Tririga 

  • Advanced knowledge of budgeting, procurement processes, or financial reconciliation
