The opportunity

  • Provide high-level administrative support to multiple executives across a wide range of duties, including managing complex calendars, coordinating travel and expenses, scheduling internal and external meetings, and ensuring executives remain on schedule while partnering closely with IT and Workplace teams to ensure seamless meeting logistics, technology setup, and office coordination.

  • Serve as a key partner in staff and leadership meetings by planning agendas, coordinating materials, facilitating discussions, and translating outcomes into actionable project plans; ensure accountability and progress through consistent follow up with leadership

  • Draft and develop presentations and materials for internal and external meetings 

  • Process and track expense reports and reimbursements

  • Take initiative on cross functional and ad hoc projects, identifying opportunities to streamline operations, enhance team efficiency, and implement process improvements that drive organizational effectiveness

  • Maintain a high level of integrity and discretion in handling confidential information 

  • Thrive in a fast-paced, high-demand environment, balancing independent judgment with strong collaboration, adaptability, and proactive communication to keep teams aligned

  • Bachelor’s Degree or equivalent work experience and 5 years of experience in a related role involving heavy calendaring, administration, and/or client-facing responsibilities

  • Experience working in a professional environment interacting directly with all employee levels, including senior management and executives

  • Experience working with Google productivity tools, including Docs, Spreadsheets, Gmail, and Calendar and MS Office (Word, Excel, PowerPoint)

  • Excellent verbal and written communication skills, as well as superior attention to detail and organization skill
