Location: Gateway Foundation Administrative Office

•            55 E Jackson Blvd., Chicago Illinois 60604

•            Hybrid.  Requires in the office on Tuesday and a minimum of 2 days a week.

 

Schedule: Monday through Friday, Day Shift 

 

HR Representative are responsible for:

The main focus of this HR Representative role is managing the end-to-end onboarding and offboarding processes, ensuring a seamless experience for new hires and departing employees.  Additionally, the HR Representative handles general HR tasks, including managing email inquiries, phone support, and collaborating with other HR team members on records and data management.

 

Onboarding Responsibilities:

  • Review background checks and provide clearance to begin employment, handling any necessary actions.
  • Assist candidates through the new hire process, ensuring all pre-employment paperwork is completed.
  • Coordinate with Site Managers to set up new hires and ensure all onboarding tasks are completed before the first day.
  • Upload new hire documentation into HR systems (SAP/UKG).
  • Coordinate and confirm the start date with sites and new hires, ensuring compliance with documentation requirements.
  • Communicate with new hires to outline expectations for their first day and introduce them to the HR team.
  • Ensure completion of I-9 and E-Verify compliance.
  • Collect and follow up on all new hire paperwork, ensuring the completion of required documents and the Orientation Checklist.
  • Maintain personnel file documents in a "holding" folder until all documents are finalized, escalate non-compliance as necessary, and send completed files to Payroll and Records.

Offboarding Responsibilities:

  • Disable system access for departing employees based on termination notifications.
  • Collect resignation or termination letters for personnel file.
  • Communicate with exiting employees to explain the offboarding process, including benefits and exit interview opportunities.
  • Confirm the final workday with the site and approve terminations in the HR system.
