Job Description
The Administrative Projects Assistant performs a wide variety of project-related tasks, providing exceptional assistance within the Office of the President. Responsibilities include providing daily, leave, and vacation backup assistance to the Office Manager, including front desk coverage and answering all incoming calls to the office. Additional responsibilities involve special assignments in support of overall office initiatives and projects. Special project assistance may include communications tracking, development of materials, assistance with coordination around high-level events and meetings, and general project support to key individuals within the office.
The incumbent may provide assistance to receive, review, and distribute mail, ensure items receive follow-up and timely responses, and perform routine office management tasks. The incumbent must exercise the highest degree of professional judgment, discretion, and tact while handling sensitive and confidential matters on a daily basis. The successful finalist will be reliable, have a track record of excellent customer service, and have strong interpersonal and decision-making skills to personify the integrity, confidentiality, and professionalism of the Office of the President.
This position offers approximately 20-30 hours of work per week with core hours of 10:00 a.m. to 2:00 p.m. Incumbent will need to be available for crucial backup support during the lunch timeframe on weekdays.
Required Qualifications
Proficient in the MS Office applications Word, Outlook, and calendar management.
Must be highly organized with the ability to manage multiple priorities and work independently in a fast-paced environment.
Ability to work collaboratively in a team atmosphere, demonstrate discretion in working with confidential information and use sound judgement in decision making.
Demonstrated professional communication skills with the ability to interact effectively with all individuals in an executive environment.
Experience drafting and editing correspondence, reports, and other documents in a professional and efficient manner, including proofreading skills, with a high degree of accuracy and attention to detail.
Preferred Qualifications
Experience providing executive administrative support in an academic or professional office environment.
Experience with Microsoft Office PowerPoint and MS Office Project.
Working knowledge of university organizational structure, policies and procedures, and governance system.
Experience facilitating meetings via Zoom or MS Teams.
