Job Summary

The HR Operations Specialist is a key member of the HR Operations team, responsible for ensuring the smooth execution of employee lifecycle processes through close coordination with our Global Business Services (GBS) provider. While GBS handles most transactional processing in Workday, this role provides oversight, conducts quality reviews, and offers process clarification and guidance as needed.

This position serves as a subject matter expert on HR processes and systems, supporting escalations, maintaining accurate documentation, and contributing to continuous process improvement. The HR Operations Specialist works collaboratively with HR Business Partners, Centers of Excellence (COEs), the HRIS (Workday) team, and external vendor partners to deliver consistent and compliant HR services across the organization.


Key Responsibilities

  • Support the U.S. New Hire Onboarding process from post-offer through Day One by coordinating pre-employment activities (e.g., I-9s, corporate credit card initiation, documentation tracking). Monitor GBS’s completion of Workday transactions and reporting, ensuring accuracy and readiness for each new hire.
  • Provide administrative support to the Global Mobility and Immigration team, including visa processing, I-9 reverifications, relocation, transfers, and related payment processing. Lead coordination of rehire and termination processes across home and host countries for relocated employees.
  • Complete ad-hoc employment verifications not covered by the automated system for current and former employees.
  • Review and respond to HR Workday tickets requiring secondary escalation, in collaboration with our PSC outsourcing partner, who manages the first level of case resolution. Ensure all cases meet SLA expectations and deliver a high standard of customer service.
  • Act as a point of contact for GBS, our third-party HR service provider, to provide guidance, support, and clarification on colleague inquiries and HR transactions (e.g., personal data updates, job changes, reporting line changes, compensation updates). Review and validate data entry completed by GBS in Workday to ensure accuracy and compliance with HR policies.
  • Serve as a liaison to GBS for system-generated termination and offboarding processes, including voluntary exit notifications. While GBS handles the communication to departing employees, partner closely with Employee Relations and HRBPs to ensure offboarding is executed accurately and in alignment with company policies.
  • Partner with GBS, who performs the initial audit of HR transactions in Workday (e.g., new hires, terminations, transfers, and pay changes), by conducting a secondary review to ensure data integrity, accuracy, and compliance with internal policies and audit requirements.
  • Partner with HR COEs and GBS to assess and enhance end-to-end employee lifecycle processes (hire-to-retire), identifying gaps, inefficiencies, and opportunities for automation or process improvement.
  • Ensure consistency and compliance across employee lifecycle processes by overseeing Workday transactions completed by GBS, including employee changes, lateral moves, and off-cycle promotions initiated by HRBPs or Talent Acquisition. Maintain alignment with internal policies and awareness of local regulations.
  • Maintain and regularly update HR process documentation, SOPs, and user guides to reflect current practices and system or policy changes.
  • Contribute to cross-functional HR projects aimed at improving service delivery, operational efficiency, and employee experience.
  • Collaborate with external vendors, including our GBS partner, to ensure effective delivery of outsourced HR processes. Provide guidance and feedback to support continuous improvement in data accuracy and case management.
  • Fulfill additional ad-hoc duties as required to support the HR function and business needs.
