The Texas Capital Center Coordinator is at the frontline of making a positive first impression and leaving a lasting impression on clients, visitors, and employees. The ideal candidate will be analytical with excellent organizational skills and detailed oriented. Client experience obsessed with responsibility of building working relationships with fellow colleagues, porters, audio visual and catering teams. This role will be responsible for the entire client and guest experience throughout each visit and includes managing reception desk essential functions, greeting and directing clients and providing all meeting planning support. This role is a high functioning multi-tasker - answering telephone calls, promptly returning emails, submit facilities requests; monitoring and inspecting conference room setups, greeting clients while managing the front desk, Additionally, supporting the event marketing team with senior level meetings and client events.

Responsibilities

  • Manage every front of house and back of house space, including junior personnel.
  • Maintain standard operating procedure for a consistent and efficient, client obsesses experience.
  • Managing essential functions, greeting, and directing clients.
  • Check rooms making sure catering, audio visual and room sets match BEO.
  • Keep track of Client Center inventory, standard purchases, and invoicing within approved processes.
  • Manage space issues, escalate unresolved matters to manager.
  • Master usage of EMS (Event Management System) to detail reservations, review in-coming requests and present proper reports aiding internal support team.
  • Develop rapport with internal admins, practices, and meeting contacts to learn about business needs while understanding the importance of meeting their expectations.
  • Ensure client and staff confidentiality.
  • Meet qualitative and quantitative targets.
  • Monitoring customer satisfaction levels.

Qualifications

  • A minimum of 7-10 years' experience in Hospitality Industry - specific 5-star hotels, Meeting Planning and Food & Beverage with bespoke luxury guest experience.
  • Effectively manage guest experience and expectations through an elevated level of tact and diplomacy.
  • Highly organized with the ability to multi-task and apply judgment to priority.
  • Ability to communicate effectively with guests, team members and leadership, both verbally and in writing, is a must.
  • Must have demonstrated ability exercising utmost discretion with confidential information.
  • Must be able to provide a genuine and sincere service experience in a friendly and professional manner.
  • Must actively listen to provide optimal service tailored to guest requests.
