Penguin Random House is seeking an Editorial Assistant to provide editorial and administrative support to the Viking imprint. Reporting to an Executive and Senior Editor, the Assistant will work closely with both editors on an exciting and broad list of fiction and nonfiction titles for Viking Books, as well as wellness-centered nonfiction for Penguin Life.
Both the Executive Editor and Senior Editor work on an array of nonfiction and fiction titles for Viking Books, as well as wellness-centered nonfiction for Penguin Life. This position provides the opportunity to learn about the overall editorial process and the inner workings of a large publishing house. Viking Penguin and Penguin Life authors include Abigail Dean, Ada Calhoun, Jamil Jan Kochai, Cady Coleman, Kristina Kuzmic, Sonia Purnell, Sahaj Kaur Kohli, Paco De Leon, Mattie Kahn, Cal Flyn, and Jason De Leon.
Specific responsibilities include:
- Preparing titles for production, overseeing all permissions and illustrations, and managing the entire production process from finished manuscript to bound book.
- Evaluating manuscripts, logging submissions, writing reader’s reports, and drafting rejection letters.
- Communicating with authors and literary agents, as well as a variety of internal departments, including Contracts, Production, Publicity, and Marketing.
- Assisting with cover copy, online copy and metadata, and title information sheets for hardcovers and paperbacks.
- Compiling sales figures, contract data, and other relevant information during the acquisition process.
- Managing galley and finished book mailings.
- Providing general administrative support including scheduling, expense reports, tracking short and long-term project due dates, fielding questions from authors, etc.

- Prior office experience
- Strong organizational skills and ability to handle multiple responsibilities
- Excellent written and verbal communication skills
- Ability to work effectively with employees at all levels as well as external individuals
- A proven ability to manage multiple projects and meet deadlines
- Proactive with the ability to problem solve creatively
- Exceptional attention to detail and strong follow-up skills
- Ability to work independently as well as on a team
- Proficiency of Microsoft Word, Excel, Outlook and the ability to learn new programs
- Interest in book publishing
*This NYC-based role is a hybrid position with in-office responsibilities, which include but are not limited to book mailings and in-office meetings.
