This position facilitates a variety of global initiatives including: collection and management of data on international activities and agreements across WashU, organizational support for global events and international visitors to campus, maintenance of the global website, and cross-campus coordination. Working closely with the Director, Global Communications & Outreach, this role provides operational and programmatic support for the office of the Vice Provost for International Affairs. The position is essential to the implementation of WashU global priorities under the university’s strategic plan, including developing a regional approach, diversification, and supportive infrastructure for research.Job Description
Primary Duties & Responsibilities
Organizational and Programmatic Support
- Assist with implementation of key programmatic activities, such as application process for seed grant intiatives and transition to InfoReady for progress reporting.
- Provide organizational support for globally focused events, conferences, and meetings with visiting international delegations, partners and dignitaries to campus.
- Prepare agendas and briefing packets for international visitors and speakers.
- Provide operational and communications support for the Global Research Scholars Network’s activities and for International Distinguished Visiting Scholars.
- Coordinate logistics, such as event timelines, venue scouting, reservation management, travel arrangements, catering planning, audio-visual and technical planning, other vendor arrangements, post-event assessments.
- Assist with coordinating overseas visits with partners and liaison on agreements with foreign government and consortia
- Provide other operational support for the office as needed.
Data Collection and Management
- Facilitate data collection and assessment of key metrics to help evaluate targets for new partnerships, implement a regional approach, and diversify recruitment.
- Oversee the international agreements/MOUs SharePoint database to: 1) ensure timely processing of new international partnership agreements that are submitted for initial review; 2) ensure that all fully executed international agreements are captured, reviewed and approved in the database. Assist with departmental outreach to collect missing agreements.
- Collect data on international activities across multiple units to maintain the global dashboard up-to-date.
- Support progress reporting for OKRs dashboard.
- Update mailing lists of globally engaged faculty and assist with surveys and outreach to track faculty with global projects/interests.
- Annual data collection for international applications/admissions dashboard.
Website Maintenance
- Update variety of resources, forms, points of contact, and featured stories on the global website. Monitor weekly Siteimprove reports and fix broken links.
- Monitor and respond to incoming queries from global website forms related to variety of issues such as international agreements, visiting dignitaries, travel, immigration, and redirect to appropriate departments (OGC, JROC, OISS, Global Travel Safety Manager, etc.) where relevant.
- Identify globally-focused events to be featured on the website.
- Maintain and enhance the global website, generating and posting accurate, effective and engaging content such as seed grant success stories, research highlights, global news stories, marketing/international recruitment materials and presentations.
- Curate a library of multimedia assets for use on the global site.
- Assist with content strategy for the global site and enhancements to infographics, maps and databases.
Coordination
- Facilitate coordination with partners in different globally engaged units across campus to implement strategic priorities.
- Serve as point of contact to help guide students, faculty and staff to appropriate contacts and answer questions related to international activities not addressed by existing resources.
- Liaison with communications staff at other globally-focused centers to curate relevant news, events, and funding opportunities from across campus.
- Promote and maintain relationships with local organizations with global focus.
- Liaison with University Advancement and international alumni programs.
Preferred Qualifications
- Bachelors degree
- Five years of progressive responsibility in program/project management, communications, or related field.
- Excellent organizational and communications skills, both verbal and written.
- Proficiency with Microsoft Word, Excel, Outlook, P
