JOB SUMMARY
Reporting directly to the Vice President for University Advancement, the Senior Administrative Assistant provides administrative support while ensuring seamless operations within the office. Candidate must be highly organized, proactive, and manage complex schedules, communications, and confidential information.
MAJOR DUTIES AND RESPONSIBILITIES
- Serves as a liaison between the Vice President’s office and University’s President’s office.
- Acts as the primary point of contact for internal and external stakeholders.
- Manages the Vice President’s calendar and schedules both in-person and virtual meetings.
- Assists in the planning and execution of high-level meetings and donor engagements.
- Develops agendas, briefing materials, PowerPoint presentations, and minutes for senior leadership meetings while ensuring all relevant stakeholders are informed and prepared.
- Monitors and tracks departmental budget and expenses. Submits regular expense reports and spend authorizations requests on behalf of the Vice President.
- Answers phone calls, purchases supply, manages office mail/packages and reports IT and facilities issues to appropriate departments.
- 50% Scheduling and coordinating with President’s Office
- 30% Scheduling Zoom and in-person meetings
- 20% Purchase order requisition and expense report submission
OTHER DUTIES AND ASSIGNMENTS
- Assists with two large university events that require evening and weekend hours.
- Per the discretion of the Vice President, occasionally assist other members of the department with projects.
JOB REQUIREMENTS:
Education: Bachelor’s degree (BA, BS, etc.)
Experience: Minimum 3 years related work experience supporting an executive or senior level manager preferably in an academic environment.
Special Knowledge: Microsoft Office to include proficient skills in Excel, Word, PowerPoint and Teams. Good knowledge of academic work environment and strong business acumen. Good office management skills, Excellent communications and interpersonal skills. Strong problem solving and project management skills.
