About the role
This Executive Assistant position supports the Showrunners/Executive Producers with high-level administrative support. The primary focus of the job is heavy administration and scheduling in a vibrant, creative, talent friendly environment. The position would be hybrid between the studio in Burbank and working from home, with occasional work from the Executive Producers’ home. The ideal candidate loves to solve problems, creates a friendly and inclusive atmosphere, is self-motivated and able to anticipate and manage shifting priorities with ease. A passion for diverse family content and animation is a must!

ESSENTIAL DUTIES AND RESPONSIBILITIES
- Manage high volume calls/meeting schedule.
- Draft, review, and send communications on behalf of Executive Producers.
- Organize and prepare for meetings, including gathering documents and attending to logistics of meetings (virtual and in person).
- Answer and respond to emails, phone calls, communicate messages and information to the Executive Producers in a timely manner.
- Perform various administrative tasks such as TSA precheck/global entry, license renewals, etc. as requested.
- Type notes for Executive Producers in creative review meetings.
- Conduct research on various topics as needed by the Executive Producers.
- Help manage Executive Producers’ to do lists and prioritization of tasks.
- Prepare decks for internal and external creative presentations, including editing clips and mocking up creative materials.
- Coordinate travel arrangements and itineraries.
- Assist Executive Producers with the preparation and submission of timely travel expense reports.
- Facilitate communication between team members.
- Frequent correspondence between Titmouse and partner network.
- Occasional errands (such as picking up lunch or traveling between locations).
KNOWLEDGE, SKILLS AND REQUIRED ABILITIES
- 3-5 years of experience as an administrative assistant; entertainment, network or talent agency experience preferred.
- Able to communicate with professionalism with all levels of executives, management, and staff, including high-level entertainment industry talent, agents, vendors, and with a diverse set of personalities and work styles.
- Able to be self-motivated, highly organized with excellent follow-through skills.
- Able to prioritize and manage multiple tasks with a high level of detail and accuracy.
- Must be creative minded, innovative, solutions-oriented and efficient.
- Demonstrated ability to connect and partner well with others and build strong, effective relationships.
- Proficiency with Google Suite, Microsoft Office Suite, and Final Draft.
- Bachelor’s degree with emphasis in media, film or theater, or equivalent work experience
