We are seeking a part-time Administrative Assistant to work in our Bonita Springs, FL tax office. Part-time hours will expand annually during the busy tax season from January through April.
The Administrative Assistant is responsible for supporting the daily operations of the office. This role involves managing phone and appointment scheduling, assisting clients and staff, maintaining office organization, and providing general administrative support to Financial Advisors and Tax Preparers.
Duties of this position include, but are not limited to the following:
1. Answer and direct incoming calls using a multi-line phone system.
2. Schedule, confirm, and manage client appointments.
3. Welcome and assist clients in a professional and friendly manner.
4. Prepare written correspondence; scan, file, and maintain documents.
5. Provide administrative support to Financial Advisors and Tax Preparers.
6. Coordinate and manage the office calendar, including scheduling for one or more representatives.
7. Monitor and maintain office equipment; order and manage office supplies as needed.
8. Perform accurate and timely data entry.
9. Performs other duties as assigned.
Education, Experience, and Skills required:
1. Minimum of two years of related administrative experience, preferably in a financial services or tax preparation environment.
2. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.).
3. Strong multitasking ability and independent problem-solving skills.
4. Highly organized, detail-oriented, and capable of managing competing priorities.
5. Excellent communication and customer service skills, especially when interacting with clients and visitors.
6. Dependable, punctual, and consistent in maintaining regular office hours.
7. Self-motivated with a willingness to learn and take on new challenges.
