Job Description:Are you detail-oriented, systems-savvy, and passionate about ensuring accuracy in HR processes? Join our College of Medicine Human Resources Office (COM-HR) as an HR Generalist II. This role offers a unique opportunity to contribute to the HR operational backbone of our college, serving as a key liaison between department partners and the University of Florida Human Resources (UFHR) team.
As an HR Generalist, you’ll play an integral role as a member of our Transaction Center, reviewing and approving a variety of employment, position, and recruitment transactions while ensuring compliance with university and college policies and procedures. You’ll also manage essential faculty, staff, and trainee data, conduct audits, and generate reports to support strategic decision-making.

About This Role
Employment & Position Transactions
- Serve as a college-level approver, also known as a Level 1 approver, for a wide range of employment and position transactions, including but not limited to: hires, special pay increases (SPIs), reclassifications, FTE changes, administrative supplements, additional pays, position description updates, supervisor changes, leaves of absence, terminations, and leave cashouts. These are primarily processed through the university’s HRIS System, currently PeopleSoft.
- Ensure all transactions and associated paperwork is completed and in alignment with university and college policies and processes. Identify and work closely with department partners, COM-HR team members, and UFHR colleagues to troubleshoot and resolve discrepancies in transactions.
- Provide advice and guidance to departments on applicable university policies, procedures, and compliance requirements related to employment and position transactions.
Record Management & Reporting
- Maintain the College of Medicine’s faculty database, ensuring completeness and accuracy of employment data, including salaries, benchmarks, titles, position numbers, and education records for faculty, postdoctoral associates, and regional programs TEAMS employees (physicians and CRNAs).
- Run and analyze reports within university and college reporting systems, including PeopleSoft, Enterprise Analytics, PageUp, and other HR systems to support data-driven decision-making.
- Ensure compliance with university and college policies regarding I-9 verifications, licensure, postdoctoral appointments, and other employment requirements.
- Conduct audits of employment records and processes to support ongoing compliance and identify opportunities for process improvement.
Recruitment Transactions
- Serve as a college-level approver for recruitment transactions, including job postings, candidate screenings, and offer letters, ensuring alignment with university and college policies and best practices.
- Ensure accuracy of job postings, offer letters, & associated documentation prior to issuance, including alignment with college hiring request and university clearance as applicable.
- Confirm job postings through the university’s talent acquisition software, PageUp, are updated and dispensed appropriately.
- Serve as a resource to departments for troubleshooting issues related to recruitment and hiring processes. Collaborate with business partners for hard-to-fill/specialized positions.
- Provide guidance and feedback to departments regarding compliance elements and opportunities to enhance postings.
Collaboration and Special Projects
- Participate in the development and refinement of standard operating procedures (SOPs) for the College of Medicine HR Hub to streamline processes and improve service delivery.
- Foster a culture of teamwork and collaboration within the Transaction Center and the broader COM-HR team to meet deadlines and provide excellent service.
