About the Agency
The Virginia Department of Fire Programs enhances public safety in the Commonwealth by providing supplemental funding, training, fire prevention and life safety education, along with statewide fire code enforcement. The organizational objective is to plan, establish, maintain, improve, and promote public safety in the Commonwealth.
The Mission of the State Fire Marshal's Office (SFMO) is to provide safety to life and property from fire for the citizens of the Commonwealth, to ensure a safe and healthy living environment through effective administration, public education, enforcement, plans review, inspections, and technical assistance by requiring compliance with mandated federal and state building, fire, life safety codes and regulations, industrialized building regulations, and all referenced model codes and standards.
About the Position
The Financial Assistant will process billing invoices accurately and promptly in compliance with the Commonwealth’s accounting policies and procedures; compose routine correspondence and memos; proofreads written and numerical documents; and communicates account information with internal and external customers. This position will also assist the SFMO Branch with special projects as assigned.
The Financial Assistant will also perform data entry; issue permits and billing for building occupancy permits as well as provide administrative support for inspection programs and assist with fee collection for all regions. The incumbent of this position will also provide administrative support for the blaster/pyrotechnician certification and explosives permitting databases; issue permits for pyrotechnic displays on state property, explosives use, possession, storage, manufacturing and selling, fees, and pyrotechnician certification.
Minimum Qualifications
• Knowledge of accounts payable and accounts receivable processes.
• Knowledge of accounting and invoicing practices.
• Experience demonstrating the ability to utilize database information to develop and send billing statements/letters.
• Considerable experience using and knowledge of QuickBooks or similar accounting system software/applications.
• Experience demonstrating knowledge of Microsoft Word and Excel, and the ability to use software to manage program data and produce reports.
• Experience demonstrating analytical and problem-solving abilities.
• Work experience demonstrating written, verbal, and interpersonal communication skills.
• Experience demonstrating the ability to work independently, perform work requiring attention to detail, and prioritize competing tasks in a fast-paced deadline driven environment.
Additional Considerations
• Prior work experience at an accounting firm or a management accountant, bookkeeper, cost accountant or similar experience desired.
• Exceptional knowledge of generally accepted accounting principles (GAAP).
• Computer proficiency in Microsoft Access.
• QuickBooks online experience .
• Experience demonstrating the ability to prepare accurate financial statements and reports.
