Job Description

Here's what you need to know:

The Support Role will manage Exceptional Student Education (ESE) duties and School Based Attendance through student information systems, student and family records and compliance while delivering excellent communication and customer service to families.  Bilingual a plus (Spanish/Kreyol)

Here's what you'll be doing:

Outcomes

  • 90% compliant of ESE and ESOL Audits 
  • 95% of notices of meetings for  ESE/504/ESOL/Gifted/SE-BIP are sent out with ten days notice. 
  • 90% of cumulatives of  ESE/504/ESOL/Gifted/SE-BIP students include previous school records or have comprehensive evidence (printed out and filed in new cumulative) of attempting to get the cumulative from the previous school. 
  • 90% of ESE/504/ESOL/Gifted/SE-BIP student cumulatives have new meeting paperwork accurately filed within 10 days of plan being locked. 
  • 3.0 or higher average annual score on Ops EKG attendance component 
  • 94% average daily attendance and less than 10% chronic absenteeism and less than 5% truancy 
  • 100% completed and compliant truancy paperwork for all applicable students each quarter 

ESE Duties

  • BOY copies of all IEP/504/Gifted/SE-BIP plans & Important ESE Documentation and placing them in individual teacher binders.
  • Distribution of ESE Binder as well as collecting signatures for all Teachers confirming Receipt of the Binder before the first day of school for ALL Classroom Teachers, Enrichment Teachers, APs of Instruction for that grade level, Culture Team, and any other stakeholder that works directly with student and/or grade level.
  • Create documents in Accelify for meetings that need to be scheduled. 
  • Report to the Director of ESE for SPED troubleshooting.
  • Collect ESE Binders at the end of the year with the intent to recycle those binder still in good condition.
  • SHRED all plans in the Binder within 2 weeks after school has ended. 
  • Distribute renewed (IEP Annual, IEP Interim, 504 Annual, EP Review, SE-BIP) Plans as the meetings are renewed throughout the year.
  • Conduct cumulative audits to ensure all documentation is correct in the cumulative and in compliance order. 

Organization

  • Keep up with a spreadsheet that includes a caseload for Royalty & Courage independently, use the spreadsheet & system to communicate needs.
  • Follow systems and procedures already detailed and outlined in a dashboard for SPED Dept and RTI Process.
  • Once IEP/504/Gifted/ESOL & SST Meeting is locked, file the paperwork within 10 days correctly in the student’s cumulative file. 

Communication Skills

  • Effectively communicate with parents regarding the following information:

    • Scheduling 300+ IEP/504/Gifted/SST/ESOL meetings per year with 10-day notice minimum. 

    • Stating objective of Meetings

    • Sending a follow-up Email including meeting attendees and an attached Notice of Meeting created in Accelify

    • Sending out a calendar invite to all parties invited.

    • Sending out request for IEP teacher input to Gen Ed Teachers 

    • Work closely and keep open and often line of communication with AP of ESE for both Courage and Royalty

Attendance Duties

  • Auditing and supporting attendance calls and escalate family concerns as needed
  • Track student attendance to maintain high data accuracy and high student attendance
  • Work to ensure staff are consistently and accurately entering attendance records
  • Participate in weekly attendance meetings with the Sch
