About the role

Amazon Web Services (AWS) is looking for a dedicated, well organized, and customer-obsessed Executive Assistant to join Worldwide Marketing. This role will support senior leaders within the organization and requires superior attention to detail, great organization and prioritization skills, the ability to plan ahead and to meet tight deadlines, all while juggling multiple critical requests. A high level of integrity and discretion in handling confidential information, and professionalism in dealing with leaders (at and outside Amazon) is important, as is the ability to be flexible and change direction seamlessly. The successful candidate will possess the ability to complete complex tasks and projects quickly with little guidance, react with appropriate urgency to situations that require a quick turnaround, and want to take on varied and exciting new projects and learn new skills. You’ll need to take effective action without having to know the total picture, and efficiently and proactively solve difficult or complex problems that affect people within the department or other related groups.

As an Executive Assistant, you will be responsible for a wide range of critical activities including complex calendar management, tracking key deliverables, coordinating travel and expenses, and organizing team activities and events (such as all–team meetings and employee engagement activities). Other responsibilities include, but are not limited to, coordinating meeting agendas at all levels across and within the org, space planning, and project coordination including managing budgets and logistics for these efforts. A high level of integrity and discretion in handling confidential information, and professionalism in dealing with senior professionals inside and outside the company is important. In this role, you’ll have the opportunity to act as an extension of our leaders in partnership with a supportive and collaborative EA community.



Key job responsibilities
• Proactively coordinate and engage with leadership in planning and organizing events, activities and calendars
• Management of complex calendars, scheduling requirements, and prioritization of executive's tasks and appointments according to their importance, urgency, and relevance.
• Act as a liaison for direct reports and business stakeholders
• Extensive travel coordination (international and domestic)
• Participate in planning of events and drive key team activities (staff meetings, all-hands meetings, supply ordering)
• Work alongside other executive assistants within the org and throughout AWS to drive best practices and cross collaboration of efficiencies


A day in the life
• Organize, prioritize, and appropriately handle time-sensitive, confidential information and ensure action required is addressed in a timely manner.
• Organize, execute, and assist with team activities (on-sites/off-sites, team social events, etc.)
• Schedule cost effective air/hotel/ground transportation.
• Create detailed travel itineraries both domestic and international (including smooth transitions between time zones).
• Coordinate with in-house travel agents and manage international travel process.
• Submit expense reports in a timely fashion.
• Coordinate closely with Recruiting teams,
• Facilities team, HR team, and other Executive • Assistants within the Amazon community.
• Track and help drive completion of key deliverables and follow up on unfinished items to include meeting notes and action items
• Acting as a liaison between senior marketing leaders and their direct reports and teams
