Job Description

Purpose:

Under close to moderate supervision, the Graduate Academic Advisor I supports graduate students by providing academic advising and administrative assistance related to degree requirements and academic processes. This role focuses on learning and applying university, college, and departmental policies, handling routine advising matters, and contributing to efficient graduate office operations.

Responsibilities:

• Serves as academic advisor for mechanical engineering Ph.D. students by providing guidance on degree requirements, policies, and timelines under established procedures.
• Meets and corresponds with students to answer routine academic questions and escalates complex cases as appropriate.
• Refers students to appropriate campus resources and departments (e.g., ISSS, Graduate & Professional School, SFAID, etc.).
• Assists international students with ISSS processes and electronic forms.
• Reviews graduate degree plans and assists students with add/drop requests, withdrawals, changes of curriculum, ARCS requests, and other routine academic matters.
• Assists with ARCS requests and other routine academic approvals.
• Supports the coordination and administration of the Mechanical Engineering Ph.D. Qualifying Examination, including scheduling, communications, and record keeping.
• Maintains graduate student records and updates tracking systems to support monitoring of degree progress.
• Assists with the preparation and maintenance of informational materials, handbooks, and communications. Participates in graduate program events such as orientations, prospective student visits, and graduation activities.
• Works collaboratively with graduate office staff to support daily operations and efficient workflow.
• Performs other duties as assigned, including occasional work beyond normal office hours.

Minimum qualifications for a Graduate Academic Advisor I:

• Bachelor’s degree in applicable field or equivalent combination of education and experience.

Minimum qualifications for a Graduate Academic Advisor II:

• Bachelor’s degree or an equivalent combination of education and experience. 
• One year of related experience.

Minimum qualifications for a Graduate Academic Advisor III:

• Bachelor’s degree or an equivalent combination of education and experience
• Three years of related experience.
