Responsibilities
Support HR Leadership Team (HRLT) leaders and their team(s) to successfully manage all cyclical people management processes (talent management, succession planning, performance management, compensation planning, etc.).
Calendar, travel and expense management for the CHRO and HR Leadership team.
Manage calendar of and support for weekly functional talent review facilitation in conjunction with the HR Leadership team, Talent Management lead, and CEO Chief of Staff.
Maintaining an accurately organized schedule for the leaders for both internal business as well as external committees and commitments. Use discretion in setting up and accepting appointments; gather pre-reads and background information, when appropriate.
Coordinating HRLT meetings, assisting in agenda creation, and providing minutes, when requested. Supporting logistics for quarterly Town Hall meetings, off-site and special purpose meetings, and events.
Assisting with the coordination and material preparation for Leadership Team meetings, Board and Talent Committee meetings and Executive Leadership Team (ELT) presentations.
Responding to requests and administrative deadlines as well as tracking deadlines and approvals. An understanding of how to navigate and utilize the HR, expense, and purchasing systems is essential.
Creating and distributing highly confidential correspondence, presentations, and reports.
Ad-hoc project management and administrative duties as requested.
Required Education, Experience and Skills
Bachelor’s degree (or equivalent combination of qualifications/experience).
Ten plus years Executive Assistant or equivalent role, supporting C-Suite and/or Executive leaders and their organization.
Business systems processing experience for expense reports, purchase orders and payment requests, and reporting.
Strong organizational, prioritization, and time management skills.
Ability to handle sensitive data with discretion and confidentiality.
Outstanding executive presence and effective business communications - both written and oral - are necessary for daily interaction with Executive Leadership Team members, Board members, and external partners.
Exceptional interpersonal skills and the ability to manage relationships with internal and external parties are essential, including significant interaction with internal and external multi-national senior executives and political officials.
Ability to solve problems through investigation and solution identification.
Expertise in using MS Office Suite (Outlook, Word, Excel, PowerPoint, OneNote) and operation of other related programs & HR systems.
Ability to prepare and assist with PowerPoint presentations and manipulate / work with advanced Excel spreadsheets.
