Your Team Responsibilities
We are looking for a proactive and dedicated career Executive Assistant in New York to support. The primary responsibility of this position is to undertake a wide range of administrative duties with skillful execution, high attention to detail and with minimal guidance, as well as being comfortable working in time pressured scenarios and dealing with confidential and sensitive items.
Your Key Responsibilities
- Extensive diary management with strong ability to manage complex and detailed calendars, demonstrate solid understanding of corporate and personal importance with flexible and problem-solving abilities to adjust schedule based on needs
- Professional and reliable first point of contact
- Planning and coordinating extensive travel schedules
- Organising and overseeing internal and external meetings as well as in-person and virtual offsites
- Filtering and management of the Managing Director’s emails
- Screening telephone calls, taking accurate messages
- Daily updates to the Managing Director(s) regarding pending / outstanding issues
- Creating, consolidating and communicating documentation across a Global team
- Setting up of Teams and Zoom connections as well as in-person meetings
- Handling confidential information
- Ad hoc matters
- Provide back up support for another Office in the absence of their primary EA
Your skills and experience that will help you excel
- Mininum +5 years solid experience preferably in a global environment providing Executive and Personal support at a Senior Executive level
- Fluent in English (other languages useful) with strong oral and written communication and excellent interpersonal skills
- Highly motivated and pro-active with the ability to work independently and as part of a team
- A flexible and reliable working attitude required dependent on Managing Directors’ needs sometimes outside of working hours
- Tact and good judgement in confidential situations and experience interacting with Senior Management and Clients
- Attention to detail essential together with logical thinking and problem solving skills
- Exceptional organisational skills with the ability to prioritise and multitask in a pressurised environment
- Strong technical compentency, especially working proficiency of Microsoft Office 365 (Word, PowerPoint, Excel, Teams, SharePoint) and Concur
- High level of integrity and experience in handling confidential information is a must.
