The Penn Neurogenetics Therapy Center within the Department of Neurology is seeking a detail-oriented, service focused Administrative Coordinator. The Administrative Coordinator will play an integral role in supporting the PNTC's daily operations, providing support to the Center Director as well as Center administrative and marketing activities.Job Description
Job Responsibilities
1) Maintain the PNTC Director calendar and coordinate all meetings.
2) Coordinate and provide hands-on support for PNTC meetings (leadership meetings, group events, guest visits, symposia, educational opportunities, etc.)
2) Coordinate applicable PNTC travels/lodging reservations.
3) Process and track eligible purchases and expense reimbursements.
4) Submit and track purchase orders and supply requests, equipment maintenance and repairs, facilities requests. Support relevant on-site activities.
5) Assist with the administrative onboarding of new center staff.
6) Assist with document maintenance and submission of grants and manuscripts.
7) Coordinate marketing initiatives, including content collection, preparation of website, social media, and newsletter updates, and ongoing maintenance and updating of all PNTC platforms.
8) Other duties and responsibilities as assigned.
The job pay range encompasses the full range of employees from new hires to the salaries of Penn employees with many years of experience and seniority. It is not a precise indicator of the new salaries of new hires when working at the top end.
The position is hybrid eligible and contingent on continued funding.
Qualifications
- High School Grad/GE Degree, and 5 to 7 years of experience or equivalent combination of education and experience is required.
- Preferred: Highly organized with strong prioritization and time-management skills. Strong written and verbal communication skills, with the ability to interact professionally with faculty, staff, and external stakeholders. Demonstrated attention to detail, sound judgment, and a high level of initiative. Experience supporting senior leadership and coordinating meetings, events, or complex schedules. Experience assisting with marketing or communications activities, including content coordination and maintenance of websites, social media, or newsletters.
