The Senior Executive Assistant will provide comprehensive support and perform professional executive administrative duties in support of executive managements mission and objectives. Assist management in coordination of functions for the effective and timely delivery of services. Acts as a liaison between the County executive management and various departments, external stakeholders, and the public.

This classification is reserved for executive roles that directly support the County Manager and the Chief Operating Officer in the execution of county-wide strategic objectives. Therefore, its use is strictly limited to the County Manager and the Chief Operating Officer.

*Remote work not available. Hours are Mon-Fri 8-5 with possible after hours and weekends

DUTIES AND RESPONSIBILITIES

1. Provide sophisticated complex scheduling and calendar management for the County Manager and Chief Operating Officer, as well as content and flow of information to senior executives. Coordinate a detailed calendar of events for the leadership including all meetings and activities that require attention and follow-up.
2. Complete a broad variety of administrative tasks that facilitate county management's ability to effectively lead the organization, including: assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and external parties, composing and preparing correspondence, maintaining contact lists, and making travel arrangements.
3. Prepare, draft, edit and format documents such as agenda items, resolutions, ordinances, request for proposals, joint power agreements, memoranda of agreements and professional service contracts. Initiate correspondence from notes and general instructions. Prepare reports, packets, graphs and spreadsheets.
4. Organizes and arranges for staff members to represent organization at meetings and conferences, using own initiative.
5. Prioritize inquiries and requests while resolving conflicts; make judgments and recommendations to ensure smooth day-to- day engagements.
6. Establish priorities and communicate assignments for tracking in adherence to deadlines as directed by the County
management.
7. Research, analyze and compile a variety of information for review and action by County management and as required for meetings and briefings. Attend meetings and take minutes as assigned by the County management.
8. Handle confidential issues such as grievances and other personnel matters.
9. Responsible for establishing and maintaining official and confidential documents and records in appropriate files.
10. Schedule training and travel; procure supplies and services and review and prioritize mail.
11. Organize work, set priorities and meet critical deadlines.
12. Assist with the training and guidance for clerical support staff.
13. Incumbent(s) in this classification may handle sensitive and/or confidential records, plans, documents or decisions that require maintaining confidentiality of sensitive information.
