About the Role:
Join our dynamic team as a Congress Specialist, Logistics, where you'll play a pivotal role in ensuring smooth operations for our congress events. You will manage supplier relationships, coordinate essential logistics, and contribute to making each event a success. As a Congress Specialist, Logistics, you will:
- Source and communicate with suppliers to secure dinner arrangements and ground transportation.
- Prepare and manage all compliance documentation and printed materials for congresses.
- Serve as the primary contact for clients on all logistical inquiries.
- Maintain accurate records and updates in our technology tools, including Cvent.
- Collaborate with our internal planning team to ensure deadlines are met and events run seamlessly.
You're Good At:
- Managing supplier relationships and negotiations.
- Detail-oriented task management and multi-tasking in a fast-paced environment.
- Utilizing technology tools for effective event planning and coordination.
- Communicating professionally with clients and stakeholders.
- Adapting to changes and troubleshooting issues as they arise.
You Might Also Have:
- A college degree preferred.
- At least 3-5 years of experience in congress or convention planning.
- Minimum 3 years in account/client management or vendor negotiation.
- Strong customer service background, with pharmaceutical industry experience as a plus.
- Proficiency in Microsoft Office and experience with event technology tools (Cvent).
You Should Know:
- Working hours may vary; flexibility is required, including some weekends and extended hours.
- Occasional travel may be necessary to support event logistics.
