About the role

Overview

The Iron County Office for Utah State Extension seeks a qualified individual to coordinate 4-H afterschool programming in Iron County. This position (Program Assistant II) will provide overall program leadership to afterschool educators. The Program Assistant will work to find and maintain community partnerships to benefit all sites.

Responsibilities

Primary Duties:

  • Assist in the administration of Iron County’s 4-H Afterschool program
  • Learn, understand, and adhere to all after-school grant expectations, obligations, budgets, and details.
  • Work collaboratively with the 4-H Afterschool staff to deliver high-quality programming that positively impacts youth and families.
  • Maintain regular communication with afterschool staff and work closely with them to ensure proper implementation of program procedures.
  • Promote 4-H Afterschool programs at various community events throughout the year.

4-H Afterschool Program Assistant Responsibilities:

  • Oversee and supervise all afterschool staff.
  • Assist in recruiting and training after-school educators.
  • Schedule and conduct monthly meetings for all after-school staff.
  • Ensure educators are trained to implement lesson plans effectively.

Professional Development:

  • Attend all mandatory professional development trainings for afterschool programs.
  • Plan, organize, and implement annual professional development training for afterschool educators.
  • Ensure all educators obtain and maintain food handler permits and CPR certification.

Afterschool Programming Sites:

  • Act as the primary liaison between 4-H Afterschool programs and school principals, secretaries, teachers, and staff.
  • Coordinate programming dates and times at each location.
  • Participate in Back-to-School events and teacher professional development days to recruit students for 4-H Afterschool programs.

Plan 4-H Afterschool curricula:

  • Design an afterschool curriculum with clearly defined daily learning objectives.
  • Purchase and organize all supplies necessary for implementing the curriculum at each school site.
  • Integrate 4-H Discover clubs, STEM, SEL, youth development and leadership, physical activities, and life skills into the curriculum.
  • Plan and execute youth service projects at each site on a quarterly basis.
  • Include homework assistance and targeted tutoring in the daily afterschool schedule.
  • Create a detailed monthly schedule and calendar for youth and parents.

Budget and Monies:

  • Ensure all purchases are made in a reasonable, cost-effective, and timely manner.
  • Monitor all after-school expenses to ensure alignment with the proposed budget.
  • Scan and upload receipts into the workflow within one month of purchase, and provide receipts to the staff assistant for entry into the accounting system.

4-H Afterschool Family Night Outs:

  • Coordinate, schedule, attend, and assess all Family Night Out activities on a monthly basis.
  • Communicate with afterschool staff and delegate responsibilities for each event.
  • Ensure all supplies are properly stored and the facility is left clean and organized after each event.

Mentors:

  • Identify and train mentors to participate in after-school programs.
  • Attend local job fairs and marketing events to attract potential mentors.
  • Arrange and manage mentor schedules for each afterschool location.

Grant management:

  • Collect comprehensive data on afterschool programs to demonstrate impact.
  • Ensure adherence to all reporting requirements of the afterschool grant program as directed by supervisor.
  • Guarantee that programming occurs for the number of weeks specified in the grant terms.
  • Develop and administer surveys to youth and parents to evaluate the afterschool programs, conducting these evaluations at least twice a year.

Qualifications

Minimum Qualifications:

  • Two years of experience or an associate degree/technical training is required.
  • Strong interpersonal, oral, and written skills
  • Experience in recruiting, supervising, and working with other adults
  • Excellent organizational skills
  • Basic computer skills- Word, Excel and Internet
  • Experience working and/or desire to work with youth and their families
  • Must have access to reliable transportation to and from work site
  • Must be available during all hours of program operation
